About Constance Finley CEO/Founder:

Constance Finley was inspired by her own personal experience with a chronic illness. After nearly dying from the pharmaceuticals prescribed to help alleviate pain and inflammation caused by a rare autoimmune disease, Constance turned to medicinal cannabis for relief. She has now become an authority and respected speaker on cannabis locally, federally and internationally.

Prior to Constance Therapeutics, Finley was founder and CEO of Housing Allies, Inc. Constance also worked as a clinical psychologist and taught psychology courses at Naropa University, Greeley Junior College and Lone Mountain College. She holds a Master of Arts in Clinical Psychology from the University of San Francisco, where she graduated first in her class, and a Bachelor of Arts in Eastern Studies and Psychology from Lone Mountain College, where she graduated summa cum laude.

STATUS: Full-time, hourly, non-exempt.

COMPENSATION: $29-31 per hour DOE. Work will be performed as needed and in the time allotted. After 90 day review, benefits may include; minimum 2 weeks PTO and 9 paid holidays per year; Kaiser or Anthem PPO health insurance 50% paid by the company.

GENERAL SUMMARY OF DUTIES: The Executive / Personal Assistant serves as a crucial support person to the CEO and Founder. This position is responsible for the daily tasks and duties that will benefit the rigorous schedule and workload of the CEO, both in home and within the company.

SUPERVISION RECEIVED: Reports to the Constance Finley/CEO; also takes direction from Director of Legal.

SUPERVISION EXERCISED: None.

EXAMPLES OF DUTIES: (This does not include all duties assigned)

  • Provide personalsupport such as:
  • Work closely with the Director of Legal to support CEO on personal life success.
  • Assist CEO’s personal needs across multiple offices, facilities and at home office.
  • Assist CEO at after hours or weekend events, as needed.
  • Keep an accurate calendar of important dates.
  • Support CEO with time management and structuring an effective day by having clear task expectations and deadlines of accomplishments.
  • Support with personal email management and drafting written correspondence.
  • Perform general office duties, such as ordering supplies for CEO’s home office.
  • Support general travel arrangements for CEO .
  • Gather receipts, complete and submit timely expense reports to the appropriate person for reimbursement.
  • Drive CEO to and from office and other business and personal engagements in own or CEO’s vehicle. Will be required to drive CEO’s car and dogs home when needed. Be familiar with all digital and analog navigation tools and able to ensure timely arrivals. (When on errands other than during the work day when CEO is in SF, use of your own vehicle will be required )
  • Oversee minor home improvements and seasonal decor needs.
  • Hire and facilitate independent contractors, such as handyman or other skills needed to ensure a house project is accomplished in a timely manner.
  • Manage the dog-care professional and fill in with dog-care support on occasion.
  • Pick up groceries, keep a list of needed items, and handle deliveries.
  • Deliver and retrieve dry cleaning in timely manner.
  • Assist with hospitality plans and ensure there’s time on the books to order, pick up, and prepare food and supplies.
  • Manage housekeeping staff and perform some housekeeping duties.
  • Utilize their own vehicle to facilitate deliveries
  • * Provide office administrative support, such as:
  • Support with IT troubleshooting for CEO, staff and contractors. Includes troubleshooting apps, logins, password recovery and learning new tech without much direction or guidance.
  • Receive visitors, take and return phone calls, and field emails from customers, vendors, staff, executives, elected officials, regulators, and others on behalf of the company. Take informative messages and direct contacts to appropriate resources and information.
  • Act as scheduling point of contact for shared spaces, be familiar with all regular contacts, interface with other support staff and outside contractors.
  • Run errands for supplies, deliveries, bank deposits, etc. Must be adept at and comfortable handling cash.
  • Set up for and clean up after meetings with staff and clients, prepare files and materials for such meetings, manage post-meeting filings and to-dos.
  • Schedule conference calls inside and outside of the organization ensuring all parties have correct conference bridge information and times included in calendar invitations.
  • Order office supplies and maintain office-supply inventory for both Executive Office, Home office and the lab.
  • Work independently in home office, Executive office or lab as needed completing task list and reporting back to the CEO accomplishments, even in her absence.
  • Support with on-brand social-media posts, profile management, and support with newsletter development.
  • Maintain a tidy and presentable work space at all times; help with trash take-out and light janitorial.
  • Other duties as assigned.

Utilize helpful tools and programs to capture and accomplish all responsibilities. Report on projects in-progress, completed, and ongoing. Technology & Other requirements

  • Bay Area: must be familiar with the Bay Area and driving in it.
  • Must have their own vehicle and a valid drivers license
  • Computer: Functional on a modern, portable PC computer.
  • Microsoft Office: Familiar with Word, Excel, 2010 or newer.
  • Google Apps: Familiar with Google Gmail, Docs, Sheets, Drive.
  • Printing: Familiar with network printing and light troubleshooting.
  • Must be smart-phone fluent. ($75 monthly reimbursement for Iphone usage or Iphone provided)
  • Must be internet savvy. (Use of Apple computer provided)
  • Must be tech savvy and interested in and a quick-study of new apps and other tech.
  • Culture match: Support the mission and spirit of the organization and be comfortable with the manufacture of cannabis products in the facility.
  • Animal-friendly and care-capable: Must be comfortable and able to care for two dogs simultaneously.
  • Appropriate business attire

EDUCATION & EXPERIENCE:

  • High school diploma required, some college level education preferred.
  • 2 years of relevant work experience required.
  • Must be at least 21 years old, and pass a criminal background check.

CERTIFICATES/LICENSES:

  • Current, valid driver’s license; clean driving record; valid insurance; reliable vehicle. Eligible for mileage reimbursement for company travel in personal vehicle.
  • Current passport, potential international travel may be needed.

TYPICAL PHYSICAL DEMANDS:

Work requires safely driving a vehicle for up to several hours most work days. Work requires prolonged sitting, some bending, stooping, stretching, and lots of walking. Requires ability to lift up to 30 pounds regularly. Requires eye-hand coordination and manual dexterity sufficient to operate a computer, telephone, calculator, and other office equipment. Requires normal range of hearing. Requires close vision with the ability to see color and adjust focus.

TYPICAL WORKING CONDITIONS:

Work is high energy, fast paced, and due to the nature of work and regulatory landscape, is often highly stressful. Position requires regular availability to work 3-4 days weekdays per week for 8-12 hours per day on a modified work schedule, plus occasional nights, weekends, holidays, and/or events.
