OVERVIEW:

The Events and Marketing Manager is responsible for all aspects of venue sales and Society events; managing facility rentals sales, marketing and staffing; managing content for the Society’s website, newsletter and social media.

The desired candidate will have:

  • Experience in planning and implementing events and marketing strategies
  • Excellent communication skills in written, verbal and digital formats
  • Outstanding interpersonal skills for working with varied clients and community partners
  • Ability to work flexible hours in a collaborative workplace
  • Residence in or near West Chester, PA

The successful candidate will support the Society’s civic engagement, working with potential and booked rental clients, potential and selected service providers, community stakeholders and CCHS staff and volunteers.

DUTIES AND RESPONSIBILITIES:

INTERNAL EVENTS AND MARKETING

  • Promote/market the Facility for institutional events.
  • Develop creative strategies to expand the rental program to increase income stream.
  • Oversee and maintain all content management (adding events, press releases, calendar, etc.) on CCHS website (Drupal).
  • Manage institutional Events Master Tracker, and social media pages (Facebook, Twitter, Instagram).
  • Work with Director of Development to draft monthly institutional email blast; regular press releases; articles in partner journals; invitations for CCHS events.
  • Coordinate event scheduling among Society departments, especially educational programming.
  • Assist in establishing and cultivating community relationships to support CCHS growth.
  • Other duties as assigned.

RENTALS PROGRAM

  • Market and document the Society’s rental facility for external rentals.
  • Create and maintain records of all logistical information including event floor plans, room set-ups and event photographs.
  • Create marketing and presentation materials to attract potential rental clients.
  • Review, oversee and maintain all facility event calendars; share updated calendar with CCHS staff weekly.
  • Maintain updated rental agreements, rental rates, approved vendor lists, vendor applications, and insurance data.
  • Establish and maintain relationships with event vendors.
  • Must be present when Facility is rented if the Rental Assistant is not available.
  • Client Relations:
  • Provide rental facility tours to potential clients.
  • Serve as client’s primary contact with all vendors involved with event.
  • Prepare contracts for approval by Director of Development.
  • Facilities Management:
  • Responsible for room set ups and breakdowns; coordinate set ups and breakdowns with Rental Assistant weekly.
  • Act as primary contact for catering staff while they are on site.
  • Know and enforce CCHS institutional security protocols for use of the entire Facility, including security (lock/unlock/alarm mgmt.) in Admin. Building and Museum.
  • Ability to operate A/V, HVAC system and entire lighting system of the CCHS building.
  • Manage and monitor the cleanliness of all rental spaces.

Qualifications:

  • Bachelor’s degree.
  • Work experience with venue rentals, events management, and/or marketing.
  • Detail oriented and enthusiastic and able to present a positive image of the Society.
  • Strong time management and presentation skills.
  • Excellent computer skills in Microsoft Office programs, photo design software, photography/digital applications and other marketing specific software.
  • Knowledge of website content management preferred, Drupal desirable.
  • Interest in history and education advantageous.

Work Schedule:

Full-time. Requires flexibility, including weekdays, and regular evening and weekends.
