DSHS Administrative Assistant 3

Washington State Department of Social and Health Services’ Behavioral Health Administration (BHA) is seeking an Administrative Assistant 3 to join their team at Western State Hospital (WSH)!

In this role, you will exercise your critical thinking skills and use independent judgment in support of the Center for Forensic Services (CFS) Director and Not Guilty by Reason of Insanity (NGRI) Program to ensure ongoing compliance with the Ross Settlement, RCW 10.77, and BHA and WSH policies. Specifically, this role is responsible for conducting research and data entry for all patient movement, as wells a records maintenance and compliance of timelines and procedures for patient Application and Petition for Conditional Release and Unconditional Release.

Some of what you’ll do:

  • Schedule appointments and coordinate meetings
  • Draft correspondence
  • Take a distribute meeting minutes
  • Assist in preparation and tracking of court letters
  • Correspond with clinical and administrative staff
  • Data entry of all patient admission, assessments, implementation of privileges, conditional release, and unconditional release
  • Develop training materials and conduct training
  • Create a tracking system, manage data and produce reports
  • Organization, records management, research, reports and coordination and correspondence with staff
  • Mail letters to the court and email attorneys
  • Research and maintain a current database
  • Maintain and update court letter templates
  • What we’re looking for:

  • Three (3) or more years of progressively responsible, recent experience providing professional-level administrative support to a senior-level manager and supporting others in completing work
  • Knowledge of administrative procedures, other methods, and procedures, research and data collection, and state agency functional and personnel policies
  • Organizational skills, including, but not limited to, the ability to prioritize work, find information quickly, complete work and return to critical tasks in the midst of multiple interruptions, and multi-task and handle issues quickly but accurately
  • Ability to independently manage time and tasks
  • Ability and experience composing, editing, and proofreading professional communication materials, including correspondence for executive-level signature
  • Intermediate to advanced experience using Word, Excel, PowerPoint, Outlook, SharePoint and the internet
  • Who should apply?
