ABOUT THE ROLE / PURPOSE OF THE JOB
To engage customers and facilitate the order entry and customer service process (service requests, complaints, customer surveys).

JOB REQUIREMENTS
Business Results: Operational, Financial and Technical results:
1. Issue proforma invoice/quotation to customers and agreed with the Account Manager
1.1 Ensure accuracy of proforma invoices and quotations
2. Receive orders from customers and capture in SAP:
2.1 Orders processed within agreed timelines
2.2 Ensure correct pricing and delivery date
3. Capture orders in SAP ensuring completeness of information:
3.1 Ensure orders are accurately captured
3.2. Ensure a complete order (pricing, forecasts, order solicitation, quality of service, dates of delivery, delivery notes list batching)
4. Send order confirmation to customer:
4.1 Confirm ability to meet customer delivery requirements before sending order confirmation
5. Communicate to customer delivery status:
5.1 Keep communications channels open with customer and provide accurate and concise information of delivery status.
6. Comply with Price Exception Request process (PER):
6.1 Ensure necessary approvals are obtained
7. House keeping up to date:
7.1 Ensure all unclosed SAP transactions are actioned and closed off.
7.2. Orders that will not occur must be closed off.
7.3 All filing to be completed on time
8. Execute consignment stock / recon / invoicing:
8.1. Compile stock sheets, stock balances and recons
8.2. Ensure correct invoicing against stock consumptions by customers
9. Create debit/credit notes and client /stock returns:
9.1 Ensure that the necessary transactions are completed timeously and proper governance is followed
Qualifications and expertise required:

  • Grade 12

– At least 2 – 3 years of experience
– Customer- service- and solution-oriented personality (e.g. self-motivation, delivering high quality solutions and services, demonstrating flexibility)

  • Good knowledge of MS Office software and SAP
  • Fluency in English
