General Description and Classification Standards

Provides clerical support for the operation of the court. Serves as liaison between the customers, judges, law enforcement, attorneys, and other court personnel, providing general and problem solving solutions for internal and external personnel. This is the entry level for this job family. Individuals entering this level must already possess the basic knowledge of the work and the required communications skills to carry out basic tasks. Typically performs the simplest pertinent tasks and assists higher level workers in more complex jobs. Positions at this level could have a permanent assignment (e.g. file clerk, office clerk, data entry clerk, etc.) or could be in a promotional track for higher level activities (e.g. Accounting clerk)

Supervision Received

Works under direct supervision and follows standardized procedures and written instructions to accomplish assigned tasks.

Essential Duties & Responsibilities

Enters cases and case-related data in appropriate system; maintains calendars, bonds, warrants, files, records, and other court-related correspondence. Provides cashiering services for collection of fines, fees, bonds, etc.. Researches and completes background requests for criminal and traffic dispositions; provides driver and criminal documentation for identity theft cases. Sorts incoming mail and distributes outgoing to mail department at City Hall; procures and transports mental evaluations from jail; processes all incoming mail payments and forwards to finance department. Time stamps, scans, and files documents for the court including probation and plea in absentia cases; transports motions to judge and resets requested cases excluding accident, DUI, FTA, and cases already before a judge. Provides effective customer service to the general public and various governmental agencies regarding judicial procedures, court appearances, trial dates, dispositions and payment of fines; corresponds with the general public and governmental agencies via phone, fax, mail and e-mail as needed. Prepares, processes, and files arrest and non-arrest case dispositions; files and processes motions to open sealed records.

Follows standardized procedures and written instructions to accomplish assigned tasks. Resolves routine questions and problems and refers more complex issues to higher levels.

None. May oversee temporary or contract workers as needed

Knowledge, Skills & Abilities

Knowledge of terminology, procedures, and clerical duties common in court systems. Skill in researching and problem solving.

Ability to communicate effectively with the general public and all levels of court and law enforcement

Minimum Qualifications – Education and Experience

High school diploma or General Equivalency Diploma (GED)

1-2 years’ of clerical or office experience (or any equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for this job)

Preferred Education & Experience

Associate’s Degree in criminal justice or accounting; 1-2 years’ of clerical or office experience in a judiciary environment.

Licensures and Certifications

May be required to obtain Georgia Criminal Investigation Center (GCIC) certification for some dispositions.
