Clinical Sceduler

The Clinical Scheduler registers and schedules inmate patients off-site consult requests for participating CoreCivic correctional facilities under the direction of the Director, Case Management and within the established policies and procedures. Schedules according to order of the Licensed Independent Practitioner (LIP), within contractual timeframes and guidelines for each facility. Verifies that consult request has been approved by the Regional Medical Director prior to completing request. Collaborates with off-site medical providers, Utilization Management team, and CoreCivic Consult team to ensure requests are managed efficiently for the right level of care requested and documented in designated electronic systems to communicate status of requests. Responds and follows up on appointment inquiries to ensure they are completed. Obtains necessary paperwork per facility requirements and uploads into the electronic medical record (EMR).
ESSENTIAL FUNCTIONS:

  • Schedules inmate medical appointments and procedures in provider offices, hospitals, and diagnostic labs, at the nearest network provider when possible and within contractual timeframes and as ordered by the Licensed Independent Practitioner.
  • Reviews appointment requests and documents basic medical history in scheduling system. Verifies that appointment is consistent with the diagnosis and indication for consult request and that required approvals are documented.
  • Verifies consult request is with an in-network participating medical facility and within scope per contract.
  • Takes and responds timely to telephone calls to establish or confirm appointments.
  • Provides support in maintaining and updating inmate medical records, requesting necessary medical records, and uploading into Electronic Medical Record (EMR) within contractual timeframes.
  • Enters data into various electronic systems, maintaining the integrity and accuracy of the data, and updating records as consult request moves toward confirmation.
  • Confirms appointment times with designated CoreCivic facility staff members via required method of communication.
  • Identifies issues that suggest opportunities for improvement with the scheduling process and escalates for review or resolution.
  • Addresses customer service issues, when applicable, and directs to the appropriate manager or resource.
  • Performs duties in a compliant manner by following department and company policies, as well as state and federal regulations. Maintains required levels of confidentiality.
  • Domestic U.S. travel may be required.

    MINIMUM QUALIFICATIONS:

  • High School diploma, GED certification or equivalent.
  • One year of customer service or data entry experience in a healthcare setting.
  • Must possess strong customer service skills.
  • Must be highly organized with the ability to multi-task, work under pressure, and manage changing priorities and moderate workload and a keen eye to detail.
  • Proficiency in Microsoft Office applications.
  • A valid driver’s license is required.
  • PREFERRED QUALIFICATIONS:

  • Knowledge of Leading Reach scheduling software and Allscripts preferred.
