Certification Scanning Clerk

job Description & Responsibilities: Must have previous Scanning Experience a MUST !

  • Mail Processing: Mail is opened, sorted, date stamped, and compiled alphabetically into bundles for scanning.
  • Scan documents: Certification documents arrive to the scanner in a bundle and are then scanned individually through an imaging machine using the certification ID number or the social security number of each applicant. Names, addresses, etc. are verified and any address changes are entered into the database. The date the documents were received is logged in the database and the documents are scanned by document type into the file of each educator.
  • ExpressLane (fax and upload) was created to help colleges, university, and school systems submit application documents electronically for faster processing. All ExpressLane packages are received into a database and are reviewed for completeness (e.g., signatures included, personal affirmation questions answered) in the order in which they are received to ensure that all required documents have been received. If an ExpressLane package is not acceptable for any reason (e.g., illegible documents, incomplete application, missing pages), the user will reject the package by selecting the “reject” tab on the ExpressLane database and selecting the appropriate reason from a drop-down list of acceptable rejection reasons.
  • VLP cases are automatically entered into a database upon receipt. The submitted documents are reviewed to ensure that the VLP form is submitted, that the affidavit is complete, signed and notarized and that the secure and verifiable document is present, legible and acceptable.

The above tasks require a high degree of attention to detail, accuracy, discretion and confidentiality. They require the ability to sit for long periods of time doing repetitive tasks. They further require familiarity with computers and the ability to learn how to use the certification database user interface, ExpressLane electronic document submission system, and certification forms. Training will take approximately 1 to 2 days.
