Book Keeper – Office Manager

IMMEDIATE JOB OPENING: Experienced Full Charge Book keeper/ Office Manager

with at least 4 years of book keeping in office experience. Fully experienced in Quick Books.

Full-time bookkeeper/office manager, needed immediately for small boutique Landscape Architecture design-build firm. High energy, creative and purpose driven office environment. We are looking for highly effective, energetic and organized candidates. Previous experience in construction or design a plus. Book keeping skill a prerequisite as there is no learning on the job.

Spanish speakers a plus.

OFFICE LOCATION- ATMOSPHERE

Office is a beautifully restored 1930’s building , with lots of natural light and pretty garden. Located 1 block form the Menil Museum on W. Alabama St. 77006 . Happy, creative , busy and energetic atmosphere. Owners dogs come to work. Owner is highly allergic to smoking.

  • *SKILLS REQUIRED
  • Accounts Payable/Receivable
  • Customer Collections, Sales Tax Reporting/Filing,
  • 1099 Processing,
  • Management Reporting using Quick-books accounting software.
  • Candidate will prepare invoices/estimates and keep up with work hours of crews and architects.
  • Knowledge of Excel, Word and Outlook required.
  • Paying monthly state sales tax.
  • Candidate must be able to interact effectively with customers, vendors and CPA.
  • Excellent writing skills, well spoken and able to communicate with clients, designers and vendors.
  • Problem solving – independent thinker- capable – team player

  • 3 verified job references – employer name and contact person with telephone number and email.
  • candidate to provide a full criminal background check to be reviewed by law enforcement.
  • Salary based upon experience. 40K +/-
  • Typical work hours 8:30 -5pm Negotiable 35-40+ hours a week
  • In office book keeper test with our CPA

JOB DESCRIPTION-this job is for highly efficient, effective people who work well on a team.

  • Schedule principal, client meetings, personal appointments and air travel.
  • Full charge book keeper
  • Coordinate: client meetings and vendors.Problem solve when needed.
  • Keep refrigerators stocked with snacks and drinks- make coffee for clients
  • Errands: Bank, Vendors, errands for Principal
  • Stock and manage office supplies.
  • Confirm client appointments day before
  • Collections follow up with clients and send emails reminder of payment due.
