Assistant to the Commissioner

The Assistant to the Commissioner coordinates and oversees the daily activities of the Office of the Commissioner of the Massachusetts Commission for the Blind (MCB). Acts as the liaison for the Office of the Commissioner between agency personnel, consumers, and government officials in external agencies including the Governor’s Office, Executive Office of Health and Human Services (EOHHS), senators and other legislators of various states, executives from various organizations, corporations and universities. Responsible for phone coverage for the Office of the Commissioner, greeting and escorting guests, and other duties as needed. Must have a current and valid driver’s license in order to assist the Commissioner with transportation needs to meetings and events across the Commonwealth. Coordinates and assists with managing monthly meetings for the MCB Statutory Advisory Board (SAB) including coordinating and maintaining documentation for Gubernatorial appointments for all board members. Coordinates activities for the MCB Rehabilitation Council (RC) including scheduling meetings, coordinating and maintaining documentation for Gubernatorial appointments for all RC board members. Coordinates with the General Counsel to post meeting notifications and agendas for RC quarterly meetings in accordance with state regulations. Drafts and reviews various documents for accuracy and content. Maintains calendars and manages all scheduling for the Commissioner and Chief of Staff. Compiles monthly agency program activities for agency’s annual report publication. Assists in the coordination of all aspects of MCB’s newsletter and annual report. Records, writes, and distributes minutes for Senior Team meetings in a timely manner. Coordinates all purchasing and budgeting for the budget of the Office of the Commissioner, including writing all purchase orders and payment vouchers, requesting supporting documentation and invoices, monitoring spending in accounts. Assists with research and data entry for various projects as assigned.

Qualifications

This requisition will remain open until filled; however, first consideration will be given to those applicants that apply within the first 14 days.

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A Bachelor’s degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.*

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*

III. A Bachelor’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
