About the role:

Provide administrative support to the Human Resources team within Interventional Cardiology. Supports the work of the VP of Human Resources, HR Business Partners/Generalists and the Diversity and Inclusion team.

Your responsibilities include:

  • Composing and/or transcribing routine correspondence, letters, and memos. May proofread for grammatical construction, spelling and flow, and distribute to appropriate personnel.
  • Maintaining alphabetical, numerical or subject filing systems via e-File (electronic) and hardcopy as required.
  • Receiving incoming mail, faxes, telephone calls and visitors and routes to appropriate department staff by exercising judgment regarding content and priority.
  • Assisting in the preparation of reports, graphs, and presentations using spreadsheet and graphic software utilizing Excel, SuccessFactors and other applications as required
  • Creating charts and graphs for presentations
  • Managing calendar and travel for VP and Director
  • Scheduling appointments; maintaining up-to-date appointment calendar; ensuring that the VP and Director are informed at all times of scheduled commitments.
  • Assisting with preparing business expense reports on VP and Director’s behalf utilizing Concur application
  • Ensuring invoices and purchase orders are paid and sent through Vendor Invoice Management (VIM); must code and ensure all approvals are complete.
  • Acting as an informed source of company policies and procedures by answering routine questions or routing to appropriate employee(s) for answers.
  • Planning conferences, meetings and events by coordinating calendars, scheduling catering, ordering audio-visual equipment, working with Corporate Meeting Management (CMM) and Travel Department when required, and working with facilities to ensure room configurations and more.
  • Maintaining Organization Chart and Personnel Data Information for the team.
  • Conducting all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis.
  • Ordering office supplies, equipment, and assists in helping the team with ordering and shipping of material as needed to various tradeshows, conferences, and meetings.
  • Assisting in coordination of special projects and department activities at various sites.
  • Continuously learning new systems as required by BSC as it relates to their day to day duties.
  • Traveling as needed, when assistance is required at meetings.

What we’re looking for:

Basic Qualifications

  • Should have at least 5 – 7+ years of professional administrative experience working in similar industry. Stable work history required
  • Must have experience taking direction from all types of management styles and able to follow and carry through with those directions
  • Must have experience in being pro-active and working with little direction when applicable
  • Must have experience working in a team environment, working on projects as a team, helping to keep office maintained, including set-up and clean-up for team meetings.
  • Must display professionalism, leadership qualities and positive attitude, and an above and beyond approach with every task and the job as a whole providing an excellent example for those he/she comes in contact with.
  • Must have experience in scheduling and coordinating meetings
  • Must have experience in supporting people remotely in different time zones
  • Must be highly organized, willing to be flexible with an ever-changing work environment and be an experienced multi-tasker.
  • Must have the ability to prioritize tasks, identify what is urgent.
  • Must be able to learn new applications efficiently and effectively. Learning new applications such as Kronos, Concur Expense tool, SuccessFactors, Fusion, BOX, Vendor Invoice Management (VIM) for coding invoices and other systems that may be required to do the job. All applications are routine part of the job.
  • Must have excellent reading comprehension skills with the ability to read material and develop at least a basic understanding of a wide variety of topics.
  • Must be assertive and not hesitate to ask questions. This is important in this fast pace role.
  • Must have a desire to be in an admin support role and truly enjoy assisting others. Recognizes that this role provides the highest level of support service approaching every situation with an above and beyond approach.
