Work Unit Description

The Division of Pediatric Surgery directs a busy inpatient and outpatient clinical service both at Doernbecher Children’s Hospital at OHSU and Randall Children’s Hospital at Legacy Emanuel. The pediatric surgery faculty members have special expertise in such areas as congenital abnormalities, single port surgery, antegrade continence enema, congenital chest wall abnormalities, thoracoscopic repair of congenital diaphragmatic hernia, endoscopy (bronchoscopy, esophagoscopy, peritoneoscopy, and thoracoscopy), surgery for cancerous and noncancerous tumors, trauma surgery and neonatal minimal access surgery. The pediatric surgery division also offers a two-year accredited pediatric surgery residency program and pediatric surgery fellowship program.

  • FTE: Full Time 1.0 FTE
  • Schedule: Monday-Friday, 8am-5:00pm
  • Salary Range: $21.31-$28.82 per hour
  • Location: Portland, OR (Marquam Hill)

Functions/Duties of Position
This position plays an integral role in the Division of Pediatric Surgery, Division of Pediatric Urology and Pediatric Orthopedics by performing a wide variety of advanced administrative and technical functions. Directly supports the objectives of clinical care, quality assurance, education and research. Provides administrative support to the Surgeon-in-chief of Doernbecher Children’s Hospital as well as faculty and management of the Pediatric Surgical Specialties. Provides high quality customer service to both external and internal customers, including prompt and professional communication efforts, face-to-face customer contact and crisis management. This position is expected to maintain patient confidentiality and other highly confidential division files. This position requires an advanced knowledge of OHSU policies and procedures to ensure a smooth flow of services and operations.
Job Requirements

Required Qualifications:

  • Four years of general office or secretarial experience; OR An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor’s degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience
  • Data entry experience
  • Proven record of professional grammar, spelling and editing skills
  • Ability to work independently and as part of a team
  • Proven willingness to follow established procedures and protocols
  • Exceptional communication skills and organizational skills
  • Detail oriented and committed to follow through
  • High level of initiative with the ability to work independently
  • Ability to exercise sound judgment in making decisions or dealing with unusual situations, especially those involving confidential matters
  • Exemplary customer service skills to serve both internal and external OHSU customers
  • Ability to multitask and prioritize tasks/duties under pressure and in a fast paced office environment
  • Outstanding interpersonal skills to interact professionally with residents, faculty, staff, and all levels of management
  • Knowledge and understanding of hospital, clinic and University administration
  • Proficient in Microsoft Office Excel, Word, PowerPoint and Outlook
  • Advanced Microsoft Outlook skills, including calendar management and email
  • Able to perform the essential functions of the position with or without accommodation

Preferred Qualifications:

  • Bachelor’s degree
  • OHSU PAS or Administrative Assistant experience
  • Four years of secretarial/administrative experience related to the essential functions described above
  • Familiarity with answering patient phone calls and scheduling appointments in Epic
  • Familiarity with Oracle applications and Kronos timekeeping
