Position Title:
Administrative Associate – Retail

Reports To: Senior Retail Manager

Location: Wichita, KS
Summary:
To provide administrative support and assistance to the Senior Retail Manager and the Retail Support Team and to assist in the support of the daily operational requirements of the Coleman Factory Outlet Retail Stores.

Responsibilities:

  • Audit and control product inventories on each PO in the system with the shipping manifest prior to the store receiving the ordered to maintain accurate inventories.
  • Audit and compare received PO’s with the billed report out of SAP to ensure the stores were properly billed.
  • Assist Retail Buyer by placing orders with third party vendors for the stores, putting the orders through SAP, and then verifying the orders for the stores.
  • Audit invoices and bills that are charged to the stores and retail administrative account and report any discrepancies, double billing, or incorrect coding to the Accounting Manager for correction.
  • Assist in preparing presentations, letters, and reports.
  • Process inbound mail and outbound mailings and shipments to the stores for supplies that are stored at the Wichita office. (i.e. receipt paper, plastic shopping sacks, uniform shirts, etc.)
  • Update contacts and computer-based emailing lists as needed for outside events, scouting and other special marketing opportunities.
  • Review, code and approve appropriate invoices for accounting, or directing same for approval signature.
  • Assist in making promotional and event signage for in store use as well as posting on social media.
  • Assist in securing all utility, supply vendors and required licenses for new store setups.
  • Assists with arrangements for retail team meetings including budgeting, agenda, travel arrangements, hotel accommodations and meal planning.
  • Other duties as assigned.
  • KNOWLEDGE, EXPERIENCE AND SKILL REQUIREMENTS:

  • College degree preferred with emphasis in accounting, business or related business experience.
  • 3-5 years administrative experience preferred in retail or sales.
  • Proficient skills in all Microsoft Office applications with an emphasis in Excel.
  • Working knowledge of Social Media and internet-based selling.
  • Excellent communication skills.
  • Must be able to prioritize workload and work in a fast-paced environment.
  • Must be able to periodically perform physically challenging work: lifting (up to 20 lbs., 50 lbs. with assistance), standing, walking, bending, stretching, using hands and fingers, etc.
  • Working knowledge of outdoor activities and products is preferred.
  • Accurate, detail-oriented and possess good organizational and follow-up skills.
  • Must display superior customer service skills at all times when working with internal and external customers.
  • Self-motivated and able to work in a team environrnment.
  • Able to work with little supervision, deadline driven and able to work on multiple projects at once.
  • Must be adaptable and flexible. Able to work early and/or late when required and, in some instances, on weekends and holidays.
  • Flexible in working overtime as needed.
  • Limited travel could be required to support stores and to support outside sale events including weekends and holidays during peak season when needed.
  • Must possess high level of personal integrity and confidentiality.
  • General understanding of staff planning, overhead management systems, travel arrangements, expense statements, staffing and personnel systems at Coleman.
