Brand Institute has an immediate opening for an experienced Receptionist/Administrative Assistant for our corporate headquarters in downtown Miami. Work hand in hand with our Senior Executives and CEO. Exciting place to work and grow within the company!!

Brand Institute is a brand identity and marketing consultancy catering to the pharmaceutical, biotechnology and medical device industries. We perform a variety of services for our clients including creative nomenclature development, domestic and international trademark screening, linguistic analysis and market research. We have over 15 offices worldwide with Miami as our headquarters.

As one of our Front Desk Assistants you will share the dynamic duties with another team member. Candidates with a college degree preferred; exceptional career experience may be substituted. We are seeking a professional candidate with exceptional time management skills and the ability to thrive in a fast-paced environment. Must be willing to go the extra mile to get the job completed effectively and efficiently.

Applicants should have a minimum of 3-5 years in a similar position with responsibilities that include the following:

  • Writing Letters and memos for upper management and sending mass mailings
  • Screening and route all incoming calls
  • Making worldwide travel and hotel reservations for upper management
  • Photocopying, filing, and faxing
  • Scheduling interviews/meetings for upper management
  • Adhere to best practices and expense control (i.e. travel rates, office supplies, catering, vendors etc.)
  • Manage outgoing mail, overnight shipments and other deliveries to clients, vendors or internal recipients.
  • Assist upper management team with a variety of administrative tasks as assigned
  • Establish routine tasks that become AA responsibility on an ongoing basis
  • Provide back-up AA support within and outside of business area
  • Order office supplies and organize
  • Other duties as required

Requirements

  • Excellent oral and written communication skills
  • Written and verbal proficiency in English
  • The ability to communicate information and ideas in writing and communication
  • Proficiency in Microsoft Office, with demonstrate expertise in Word, Excel, and Power Point
  • Exceptional interpersonal, organizational, business communication and time management skills
  • Strong attention to detail and follow-up skills
  • Ability to work under pressure, juggle tasks and work efficiently against deadlines
  • Ability to prioritize multiple projects and adjust workload accordingly
  • Willingness to learn and adapt to new responsibilities
