Administrative Assistant III

Under the direction and supervision of the Quality Manager provides administrative support and serves as the point of contact for the public requesting information from the Fire & Rescue Department regarding Emergency Medical Services (EMS) or fire suppression reports in compliance of the Freedom of Information Act (FOIA) requests. Receives, records, processes and responds to all requests for EMS and suppression reports covered by applicable federal and state laws, including subpoenas and court ordered requests. Ensures that information is released in accordance with all applicable laws, rules of the courts and departmental regulations. Employee will have independent responsibility for the timely completion of all lawful requests received by the department regarding the dissemination of EMS and fire reports.

Employment Standards:
MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:Experience with the following:
Thorough knowledge of legal requirements regarding federal and Virginia State Freedom of Information Acts (FOIA).

Thorough knowledge of legal requirements of the rules of court regarding responses to subpoenas.

Thorough knowledge of Health Insurance Portability and Accountability Act (HlPAA) regulations as they pertain to the release of EMS reports.

Proficient in the use of Microsoft Word and Excel computer software.

Must communicate effectively (oral and written) with others.

PHYSICAL REQUIREMENTS:
Work is generally sedentary and performed in a normal office environment. Must have the ability to use keyboard-driven equipment. Physical requirements can be performed with or without reasonable accommodations.
