Administrative Assistant III

Provides highly responsible administrative support to nine appointed Boards of Equalization (BOE) members. Provides administrative services to the public, elected officials, attorneys, business representatives and other county agencies conducting business with the BOE. In accordance to §58.1 of the Code of Virginia, prepares all materials for BOE hearings, attends multiple meetings each week between July – January to include three meetings a week, two of which are evening meetings.

Typical duties include:

  • Intake of all BOE appeals in accordance to the statutory deadline; review materials for completeness; request additional information as required.
  • Ensure administrative support procedures comply with applicable State laws and County code provisions.
  • Responsible for compiling materials, data entry, scanning, copying and preparing electronic agendas using Diligent Board Books.
  • Provide information on the status of appeals.
  • Compose correspondence and communicate with to appellants, business representatives and attorneys in writing, over the phone and in person.
  • Schedule meetings for the BOE hearings and reserves county meeting rooms; swears in appellants for hearings; records hearings; tracks BOE motions and votes; prepares meeting minutes and annual reports.
  • Maintain accurate and detailed records, files and data. Other duties as assigned.

Boards of Equalization (BOE) are bodies appointed by the Board of Supervisors and completely independent of the Assessor’s Office, which hear property owner appeals regarding assessed valuations assigned to their property.

Employment Standards:

MINIMUM QUALIFICATIONS:

Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

PREFERRED QUALIFICATIONS:

  • Strong basic Microsoft Office Suite skills, specifically Word and Excel.
  • Excellent customer service experience; in person and over the phone.
  • Strong writing skills and experience working with numbers.
  • Must be available to maintain regular and punctual attendance; ability to work a flexible schedule, which will include evenings and overtime as required.
  • Excellent communication skills and ability to establish and maintain effective working relationships with BOE members, county officials, county employees and the general public.
  • Lifting file boxes and set up/break down of meeting rooms.

NECESSARY SPECIAL REQUIREMENTS:

The appointee to the position will be required to complete a criminal background check to the satisfaction of the employer.

PHYSICAL REQUIREMENTS:

Occasional lifting of log books and standing to file records with or without reasonable accommodations.
