Administrative Assistant

Job Description and Responsibilities

It is the responsibility of the Administrative Assistant to provide a wide range of administrative support functions for the Maintenance Department. Incumbents in this position will be the primary point of contact for inquiries and will be responsible for addressing questions or concerns, and provide support via phone, verbal communication, or electronic correspondence in a professional manner.

Job Responsibilities:
Anticipate and respond to the administrative support needs of management, employees and guests

Coordinate manpower scheduling

Organize meetings; keep and publish meeting minutes

Maintain and order inventory and office supplies

Answer phones and address or correctly route inquiries

Fill in for billing clerk as needed

Other duties/projects, as assigned

Job Requirements

Minimum 2 years administrative support experience

Proficiency with Word, Excel, PowerPoint, and Outlook required

Solid independent judgment and initiative

Professionalism and high integrity level

Effective verbal and communication skills

Ability to work effectively with all levels of the organization

Highly organized; Ability to prioritize tasks effectively

Willing to work overtime as required

Able to walk and/or stand for extended periods of time. Able to climb stairs and safely navigate the production floor

Physical examination required

Preferred:
Heavy industrial experience preferred

Experience with Oracle and Ivara systems
