Administrative Assistant

Perform a wide variety of administrative duties to support the physicians and the practice manager and ensure efficient and effective office operations. Reports to the practice manager.

Requirements:
JOB RESPONSIBILITIES

  • Assist with assembling and mailing New Patient Packet folders.
  • Schedule all patient visits – includes calling the patient and/or the patient’s family to inform them of the appointment time, updating the office excel, the EMR and the physician calendar with the appointment day/time and informing facility contacts of visit days/times as well. This may be your responsibility in its entirety or parts of it may be delegated elsewhere.
  • Obtain, compile and assemble information and data from a wide variety of sources in order to prepare schedules using Word and/or Excel along with Athena EMR.
  • Answer the main office phone with courtesy and professionalism at scheduled times when the Practice manager is out or unavailable (i.e. Fridays 12 pm to 5pm, sick days, meeting/presentation days, etc…)
  • Take and deliver clear messages to the appropriate parties using Telemed (you will be trained). Monitoring Telemed to insure that messages are delivered to the appropriate place in the event the line is held up.
  • Data entry of new patient info as packets are faxed in including medication lists.
  • Patient info reconciliation. Perusing all current patients and obtaining missing information if any i.e. email addresses, updated medications lists, etc. Creating and maintaining a spreadsheet to reflect these updates.
  • Use initiative and good judgment to resolve as many issues as possible, referring any unresolved issues to the Practice manager and briefing the physicians as appropriate.
  • Maintains office databases and spreadsheets; may also be asked to research, analyze data and design/generate associated reports
  • Participates in supporting the organization’s vision, mission and values and adheres to HomeCare Medicine of Atlanta’s (HCMA) standards
  • Performs other duties as assigned to meet the goals and objectives of HCMA.

QUALIFICATIONS

  • High School Diploma or equivalent
  • Some College education preferred
  • Clerical/administrative support experience a plus.
  • Part time/Full time
  • Located in GA – work may be done remotely but must be reachable by video/phone conferencing during agreed upon office hours. Must be willing to meet up with practice manager as needed at a designated location.

SKILLS, KNOWLEDGE AND ABILITIES

  • Excellent written and oral communication skills required.
  • Ability to demonstrate a sense of urgency, initiative, responsiveness, and attention to detail.
  • Strong organizational skills.
  • Ability to work on multiple projects concurrently.
  • Strong composition and proofreading skills.
  • Strong work ethic. Remote work must be completed in a professional and timely manner regardless of where work is done. Laxity and untimeliness in deliverables will result in termination.
  • Must be able to handle confidential/sensitive information.
  • Intermediate proficiency in Microsoft Word, Excel, Internet, and overall computer systems and skills.
  • Working knowledge of Athena EMR and Telemed answering service – you will be trained.
  • A basic phone will be provided but must have a computer/laptop with internet access.
  • Though remote, a quiet/private environment where calls can be made and confidential information can be viewed.
