The Accounts Receivable Data Specialist is responsible for the timely and accurate processing, researching and analyzing of payments, refunds, and adjustments. In the course of performing these duties, the Specialist utilizes the Accounts Receivable computer system (Oracle), and various subsystems of the Freight Management System.

ACCOUNTABILITIES

Prepares and processes daily Cash Receipt Vouchers for payments received via a cash deposit, EDI transmission, wire, credit card payment.

Prepares and processes inter-company transfers, transferring funds between entities and reconciling the account.

Analyze and research the weekly overpayment report to determine if refund, reapplication or freight correction request are needed and initiate action on these items.

Analyze and research items on the weekly suspense payment report. Coordinate with Collectors and or other departments to clear items on the suspense report.

Audits adjustment and reapplication requests for data integrity before processing request.

Weekly analysis of the advance payment/zero billed report. Items are researched for data integrity and resolved with the appropriate party i.e. Freight Billing, Customer Service and Collections.

Provides back-up documentation of refund checks as requested.

Responsible for formatting and placement of Auto Manufacturer remittance for entry into Oracle.

Release of all “Cash holds” by coordinating with various ports and Customer Service

Access Bank of America website to review if funds have been received and process accordingly.

Ensure data integrity by reviewing nightly GATES batches that come into MARS.

Build and maintain rapport by answering Customer Service inquiries.

Prepare GL journal entries as direct by Management.

Clearing the discrepancies of the various bank reconciliations and refund the account.

Working with the bank, analyze and process chargeback as needed.

EXPERIENCE REQUIREMENTS AND/OR SPECIALIZED SKILLS

  • Highly productive, with a sense of the importance of quality and accuracy
  • Proficient with systems, Microsoft Group Office
  • Ability to work with minimal supervision and yet be compatible within a team environment
  • Results-Oriented
  • Research and analyze data, and demonstrate effective problem solving.
  • Previous experience working in Accounts Receivable
  • Associate’s degree (A. A.) or equivalent from two-year college or technical school is preferred; Minimum of 1 year of previous AR work experience.
