Essential Job Functions Include :

  • Performs assigned accounting and clerical functions in conformity with all GAAP and regulatory requirements.
  • Coordinates monthly/ quarterly/ annual accounting processes associated with assigned grants and various funding sources.
  • Analyzes general ledger accounts and monthly expense allocations for each assigned grant for reasonableness and accuracy according to grant guidelines and/or contract terms and standard accounting principles.
  • Ensures that grant or funding source accounting records are absolutely accurate and maintained according to grant and organizational standards.
  • Acts as the recipient of employee timesheets, vehicle mileage reports, and miscellaneous grant reports for monthly tracking and substantiation of grant / funding source expenditures.
  • Reconciles employee timesheets, mileage reports, and inventory sheets to the monthly program expenditure records.
  • Maintains grant / funding source financial tracking spreadsheets for monitoring associated expenditures and remaining available funding.
  • Maintains a reconciliation of program net income to reimbursements received to ensure appropriate reimbursement for grant or funding source expenditures.
  • Invoices grants and/or funding sources as necessary to reimburse the organization for expenditures associated with the grant and/or funding source.
  • Initiates funding requests or reimbursements from grants and funding sources in a manner consistent with contract terms, regulatory requirements, and organizational standards.
  • Ensures that all grant / funding source reporting requirements are met in accordance with contract stipulations and VOANR internal policy.
  • Maintains copies of all contracts, grant/funding source documents, leases, expenditure records, etc. for each assigned funding source/grant according to applicable audit and record retention requirements.
  • Maintains an awareness of various websites, software systems, and technology requirements associated with funding sources.
  • Maintains passwords and access instructions for all funding sources in a common database for use by other members of Financial Services as necessary.
  • Maintains written procedures regarding each grant or funding source as well as a checklist of the steps to be followed for each monthly / quarterly / annual accounting cycle.
  • Completes and submits grant reports to appropriate individual and/or agencies at required intervals while adhering to proper accounting requirements.
  • Acts as a Financial Services resource to Program Directors/Managers on issues related to funding sources or grants.
  • Provides updated monthly financial tracking spreadsheets for funding source or grant activity to Program Directors/Managers for review and analysis.
  • Makes payment for check requests and assists with the accounts payable process during times of increased volume.
  • Produces checks for weekly accounts payable processing ensuring appropriateness of payment
  • Makes monthly payment for VOANR employee credit card activity.
  • Maintain relationships with funding source representatives, grant representatives, bank service agents, vendors, and credit card service agents for problem resolution or assistance.
  • Produces various reports and annual 1099’s as required by the IRS and other regulatory agencies.
  • Completes bank reconciliations for various bank accounts on a monthly basis.
  • Maintains an understanding of software systems and data bases used to track donor contributions. Enters donation information as necessary and ensures accurate tracking by donor of all contributions. Produces data base reports, when needed, of donation details.
  • Tracks monthly in-kind donations for each program and prepares a report for entry in the general ledger.
  • Works with other members of Financial Services to reconcile donor transactions between the various software systems.
  • Works with the Clearview donor data base, the Abila software system, and other software tools to provide reports and information to Executive Leaders/Directors/Managers.
  • Acts as a resource for the use of QuickBooks at remote VOANR locations.
  • Maintains appropriate records to meet all audit and record retention requirements.
  • Works with the Director of Financial Services and audit firms during various audits.
  • Contributes to the Financial Services team by lending assistance as needed and cross training in other aspects of the department to ensure outstanding service.

Other Job Functions Include :

  • Will provide backup coverage for answering telephones or greeting customers.
  • Participates and contributes to special projects and fundraising activities.
  • Represents the Organization to the public on a daily basis in a professional manner.
  • Attends training opportunities relative to position.
  • Provides backup to other accounting staff as needed.
  • Other duties as requested or assigned.

Physical Demands :

  • Ability to sit at a computer station for extended periods of time in order to complete essential job functions.
  • Ability to move or transfer items throughout the facility generally weighing 0-50 pounds.

Special Knowledge, Skills and Abilities :

  • Outstanding organizational ability and aptitude for processing details.
  • Knowledge of standard accounting practices and internal control requirements.
  • Ability to be discrete and maintain the confidentiality of information.
  • Strong computer skills in programs such as Microsoft Office, Excel, and accounting software.
  • Effective professional communications skills, both oral and written.
  • Ability to regularly and effectively deal with the public.
  • Ability to work independently and a part of a team.
  • Ability to work with tight deadlines and under pressure.
  • Ability to interact with people of various social, cultural, economic and educational backgrounds.
  • Ability to travel as required for work purposes.
  • Ability to develop and maintain professional working relationships.

Minimum Qualifications :

  • Bachelor Degree plus 2 years of experience; or
  • Associate Degree plus 4-5 years of experience; or
  • High School Diploma with 7 – 8 years of accounting experience.
  • The completion of college-level accounting classes is preferred.
