Work Order Coordinating Clerk (OA)

This position is located in the Operations and Maintenance Section of Facilities Management Services, Department of Veterans Affairs Medical Center. The primary purpose of this position is to provide work order administration support to the individual shops within the Operations and Maintenance section and assist in managing the trouble desk on a daily basis. Receive customer’s notification of problems through telephone, email or Internet contact. Query requester for identifying information such as type of problem, location of problem (building, floor, room), point of contact (name and phone number) etc. Prioritize service order jobs by referencing Operations SOP. When service orders have been completed, close out the automated system service order record ensuring all data has been entered. Provides reports and listings to shop foremen, supervisors and supported customers. Operates a computer and appropriate software to produce documents, spreadsheets, maintain databases, and other office automation functions that requires the skills of a fully qualified typist.

Duties include but are not limited to:

  • Operates a radio base to respond to incoming calls from shop personnel or to contact personnel who are in the field and respond to emergency situations.
  • Operates the operations trouble call line and receives customers’ notification of problems through telephone, email, or Internet contact
  • Performs office automation work, which includes running, processing, and maintaining forms, reports, correspondence, etc. using electronic mail and /or personal computer or mainframe applications.
  • Follows-up on status of service orders by researching and coordinating with shop foremen and other responsible personnel.

Specialized Experience:
GS-05: You must have at least one year of specialized experience that equipped you with the knowledge, skills, and abilities to perform the duties of this position. This experience must have been equivalent to at least the GS-4 level in Federal service to qualify. Examples of specialized experience include: Establishing priorites from customer service calls; processing, and maintaining numerous reports using automated systems and; providing reports and listings to management upon request.

OR

GS-05 Education : Applicants may substitute education for the experience required for the GS-05 level. Must

possess at least 4 years of undergraduate-level education which can be substituted for the required experience. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. GS-05 Combination of specialized experience and education : [For substituting education, only the two full academic years of study, or 60 semester hours, beyond the second year is equivalent to 1 year of specialized experience. To determine if you can combine education and experience to qualify, first calculate the percentage of required education you have earned (remember, you cannot use the first 60 semester hours that you earned). Then calculate the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-5 level. For example, the position to be filled is a Health Technician GS-5. You have 8 months of GS-4 level specialized experience and 80 semester hours of college. You meet 67 percent of the required experience (8 out of 12 months required) and 33 percent of the required education (only 20 of the 60 semester hours can be substituted). Physical Requirements: work is performed primarilty in an office setting with occasional walking. Work is generlly perfomed in areas that are well lighted heated, and ventilated; occasionally works in areas that are drafty.

Time-in-grade : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements For this GS-05 position you must have served 52 weeks at the GS-04 level.
