Wedding & Event Specialist

Reports to: Director of Sales & Marketing

Summary of Position: To handle all Wedding event leads and assist with marketing duties as required by the Director of Sales & Marketing, assist in the daily functions of the office and catering operations while helping with new business development.

Qualifications:

  • High school diploma required, degree in hospitality, business or marketing preferred.
  • Knowledgeable in the food and beverage industry involving banquets and events.
  • Must be motivated, self-starter, highly organized and detail oriented.
  • Have excellent people skills, be articulate, a good listener, and have a positive attitude.
  • Possess networking and client relation skills.
  • Ability to think and act quickly to find alternative solutions to immediate problems. * Able to communicate and understand the English language.
  • Ability to multi-task and complete tasks in a timely and accurate manner within a fast-paced environment.
  • Proficient in computer skills, experience in catering program a plus.
  • Possess a valid Florida driver license and have a vehicle.
  • Be available to work nights and weekends as necessary.

Sales & Office Tasks:

  • Assist in marketing efforts through social media campaigns.
  • Attend promotional and networking events as requested by Director.
  • Assist with scheduling and setting up consultations and tastings.
  • Perform word processing, typing, e-mailing, and data-entry,
  • Input and distribution of catering orders.
  • Establish rapport with clients.
  • Answer incoming phone calls and forward to the appropriate person.
  • Assist in catering callbacks and follow-ups.
  • Assist with contract invoicing for deposits and payment correspondence to clients.
  • Participate in scheduled BEO and staff meetings.
  • Perform other general office duties and assist with special projects.

Wedding Specific Tasks: * Research new wedding trends through internet, publications and trade shows. * Respond to all wedding related inquiries including, but not limited to, reception, rehearsal dinners, day-after brunches. * Follow up on all inquiries daily. * Keep up with Venue relationships, specifically those for weddings. * Look for new ways to grow the wedding clientele through trade shows, attending wedding professionals meetings. * Present a greeting card to every couple at the event with the signatures of all working along with your business card. * Send anniversary cards on 1st anniversary. * One week out tasks: o Confirm room layouts with set-up.o Schedule walkthroughs as needed.o Coordinate and order special linen orders.o Confirm any third-party vendors, rental equipment.o Menu sign or tent cards.o Buffet décor. * Attend weekly BEO meeting when applicable. * Attend Sales & Marketing meeting.
