Third Assistant to the CEO

General Position Summary

The Third Assistant to the CEO is one of three members of the Executive Support Team who serves as one of the key organizers in day-to-day CEO activities.

In this highly fluid, demanding, and vital role, the Third Assistant will monitor the details of the day and deliver high quality interactions with integrity grace, and humility.

This position requires frequent travel alongside the Chief Executive Officer and day-to-day wrangling and coordination of meetings and events.

Essential Responsibilities

ADMINISTRATIVE DUTIES

  • Collaborate and strategize daily with executive support team on upcoming schedule and agendas.
  • Co-manage the CEO’s calendar and daily schedule alongside the rest of executive support team.
  • Book & oversee all travel including flights, car service, & hotels according to the needs of the CEO.
  • Accompany the CEO to external meetings, speaking events and out-of-town trips providing administrative and logistical support.
  • Review and manage CEO’s incoming emails and proactively notate any events, speaking engagements, meeting or meditation class requests for CEO’s consideration.
  • Prepare materials and set-up for all speaking events, meetings, and meditation classes.
  • Track and submit receipts and expenses to finance weekly.
  • Provide technical support on CEO devices: password recovery, troubleshooting, social media management, video conferencing connectivity, video recordings.
  • Enter and maintain data of all donors and prospects in the database.
  • Provide back-up support for reception.
  • Assist as needed with the Foundation fundraisers and special events.
  • Perform other duties as assigned.

PERSONAL ASSISTANT DUTIES

  • Prepare or pick up lunch for the CEO on a daily basis (during the work week).
  • Manage and monitor personal credit accounts/subscriptions/club memberships.
  • Handle personal-related tasks and errands as needed.

Requirements

  • Minimum 1 – 3+ years of experience with executive support in a fast-paced environment.
  • Willingness and ability to travel within the U.S. and internationally, alongside the CEO on a routine basis
  • Availability and flexibility to occasionally work weekends and outside of normal business hours
  • A mission-driven orientation with a knowledge and passion for the non-profit sector
  • A dedicated team player by nature, a strategic thinker, organizer, and service-oriented individual who thrives in an ever-changing, priority-shifting, fast-paced environment
  • A professional, adaptable, and resourceful approach to daily responsibilities
  • Open, effective and diplomatic communicator*
  • Excellent written and verbal communication skills, with great attention to detail*
  • Strong time-management abilities
  • Proficient knowledge of Google Docs and MS Office
  • Experience with databases, preferably Salesforce
  • Proficient knowledge of Apple computers and iPhone hardware/software programs; knowledge of film equipment desired but not required
  • Previous experience supporting a public figure desired but not required

More About the Position

This is a full-time, salaried position based in remote office, in United States.
