Job Summary

Coordinates all activities of the Admissions & Records office including adhering to Federal, State, County and District regulations, policies and procedures. Hires, trains and supervises staff, assigns projects and monitors daily processing of enrollment documents. Collaborates with internal and external partners.


Essential Functions

40% – Hires, trains and supervises staff; addresses concerns, resolves problems; composes, edits and prepares correspondence and reports; conducts performance appraisals and implements developmental plans for customer service staff

25% – Keeps abreast of policies/procedures and communicates to customer service staff through written and verbal communication; trains and supervises customer services staff in the provision of services such as customer enrollment activities, customer notification (both verbal and written); develops procedures including computerized and/or manual systems to support area requirements

25% Provides backup to back office processing as needed to meet deadlines, department goals; assists new and continuing students in person, over the phone and via email in all student services processes including admissions, registration, financial aid, and referrals to other related student services functions

10% – Implements quality assurance to include regular review (e.g. spot-checks) to ensure accuracy of completed transactions, prepares/reconciles reports related to enrollment in order to comply with district and government requirements


Minimum Qualifications

Bachelor’s Degree in education, sociology, business administration or related field and two years of progressively responsible student services experience coordinating, administering, planning or evaluating programs.

OR

An equivalent combination of educaiton and expeirence sufficient to succesfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.


Desired Qualifications

1. Two (2) or more years’ experience working in a One-Stop Enrollment Services and/or Admissions & Records Office

2. Two (2) or more years’ customer service experience with a high degree of public contact including in person, telephone, online and mail

3. Two (2) or more years’ experience working with Peoplesoft (Student Information System)

4. Experience compiling data and providing reports for analysis

5. One (1) year supervisory experience


Special Working Conditions

Will be required to travel and to work at multiple site or locations.

Possession of a valid State of Arizona Class D driver’s license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements
