Social Work Assistant

Founded in 1989, Ashley House is a Non-Profit organization providing care for medically fragile children and young adults. Ashley House consists of five homes along the I-5 corridor in Western Washington. We are a unique organization, filling a gap in care for individuals that no longer need the acute care in a hospital setting but still have the need of nursing care.

Ashley House provides comprehensive cost effective quality care to medically fragile children and young adults in a home-like setting. We are dedicated to providing education to families and caregivers, building support systems, coordinating services and nurturing the development of each individual.

We are looking for the right person to join our Social Work team. This is a full time position with regular business hours Monday through Friday, and occasionally weekends and evenings. The primary work location is at the office in Federal Way, with occasional travel to the other homes located in Enumclaw, Edgewood, Tacoma, Kent and Olympia.

Summary of Position The Social Work Assistant performs administrative functions to support the Social Work team. These functions include:

* Upkeep, process, and track Incident Reports

* Data entry and time clock system follow up with staff

* Draft and update policies and procedures

* Update forms and maintain original documents

* Assist with taking notes and meeting minutes

* Schedule appointments, coordinate schedules

* Assist with development, upkeep, and production of handouts and trainings materials for staff and clients (handouts, commercial posters, and training items)

* Research and reserve free local meeting spaces in the community

* Track funding sources and maintain current requirements for a variety of insurances, state programs, state and local contracts.

* Assist with filing and gathering documentation request from external agencies, legal requests, and insurance agencies.

* Support volunteer program by development of forms and policies

* Manage and maintain required documents for ROI’s, HIPAA agreements, and business contracts as applicable.

* Research and gather pamphlets on existing agencies that we partner with or could be a resource for clients.

* Research potential grants, funds, and community resources for agency and clients served.

* Collaborate with clinical assistant on policies and reports

* Set up training room for events, maintain online calendar of events and room reservations and on call schedule.

* Collaborate with SW staff in creation and upkeep of lending library for staff and client use.

* First point of contact for donations, assist with inventory of current donations and development of tracking system for agency.

* Create flyers for upcoming trainings and events offered by social work.

* Assist with reconciling billing from various sub-contractors.

Essential Functions & Requirements

  • Consistently reports to work on time prepared to perform duties of position
  • Valid Healthcare Provider (BLS) CPR & First Aid & Food Handler’s Permit from the Department of Health
  • Must have a current Washington State driver’s license or valid driver’s license as an active duty armed forces personnel or dependent of an active duty armed forces personnel and the ability to be insured to drive agency vehicles
  • Able to pass a criminal background check with the State of Washington and maintain clearance during tenure of employment
  • Proof of vehicle insurance
  • Bachelor’s degree preferred in Social Work or related field
  • Working knowledge of Microsoft Office programs – Office 365, Outlook, Microsoft Word and Excel preferred
  • Excellent writing skills

The majority of the employee’s job duties are performed indoors in a medical environment in an office or residential setting. The employee will be exposed to prevalent weather conditions when leaving or entering the buildings; or en route to one of the homes. In some circumstances, the employee may be required to perform some job duties outside, in medical settings, and in the presence of non-employees, such as individuals, families and state officials. There is a possibility of exposure to disease and contagions that could cause a cold, flu and other illnesses. The noise level in the work environment is usually moderate. May encounter physical aggression from some of the individuals we serve.
