Senior Manager, Business Operations

The Senior Manager, Business Operations provides high-level, professional and operational support to the Associate Vice President through a wide range of administrative, managerial and executive support-related tasks and projects.
Responsibilities:

  • Serves as a member of the AVP’s leadership team.
  • Directs, implements, coordinates, and plans operational and administrative activities.
  • Manages the daily activity of the AVP and prioritize meetings, events and presentations.
  • Identifies processes, procedures and areas for efficiency and improvement. Applies knowledge of strategic objectives, practices and policies to all matters that impact the mission of the University.
  • Reviews all meeting requests. Based on communication with the requesting party, independently determines if matters require the attention of other senior members of leadership or direct reports prior to or concurrent with the AVP’s involvement.
  • Independently researches information which affects the strategic goals and objectives of the department.
  • Ensures that all documents and materials to be presented to EVPs, Deans, and other University constituents are organized and completed in a timely manner; exercises independent judgment in all matters representing the AVP.
  • Serves as primary interface between the Human Resources office and other individuals at all levels of the University including but not limited to the Office of the President, Senior Leadership, Deans, Vice Presidents, and all other degrees of University personnel; this role will apply to external constituents as well; a high level of professionalism, discretion, and exceptional customer service must be demonstrated at all times.
  • Ensures seamless communication and partnership between the AVP office and all areas of Human Resources.
  • Triages incoming communications, correspondence, and situations brought to the attention of the AVP; independently disseminates information and materials to the appropriate member of leadership and facilitates problem resolution.
  • Serves as the primary liaison with the Human Resources partner to ensure the timely processing all new hires, terminations, promotions, position changes and employee leaves for Human Resources staff. Serves as business process initiator in Workday and may serve as the AVP’s delegate.
  • As the finance business process initiator, manages, reviews and reconciles departmental accounts for Medical HR. Manages expenses to ensure fiscally responsible use of funds. Prepares financial forms, as needed.
  • Provides ancillary support to other members of the team.
  • Handles and upholds confidential information and communications.
  • Maintains an organized filing system of paper and electronic documents.
  • Performs other duties as assigned.

Knowledge, Skills and Attitudes:

  • Exceptional interpersonal skills with emphasis on integrity and discretion, and the ability to interact effectively with leadership, administrators.
  • Excellent organizational and time management skills, with particular attention to detail, the ability to multi-task, prioritize and organize actions in a complex and changing environment required.
  • Ability to maintain confidentiality on a wide range of issues required.
  • Excellent customer service, written and verbal communication skills required.
  • Previous experience with office budget and approval of expenditures required.

Qualifications:

  • Bachelor’s Degree in Business or other related field.
  • A minimum of seven years progressively responsible experience supporting and managing projects for senior staff.
