<span style="font-family:"Arial",sans-serif">Over the past forty years, Montefiore’s Division of Substance Abuse has helped thousands of men and women enter recovery and re-join their families and communities. Through recovery, individuals are empowered to help find meaning in their lives and integrate back into their communities. The Secretary I will be responsible for providing secretarial, data entry, and routine administrative assistance within the DoSA Division of Substance Abuse treatment programs. This position will assist with the daily management of the office and facilitate essential program operations.

<span style="font-family:"Arial",sans-serif">Responsibilities:

  • <span style="font-family:"Arial",sans-serif">Coordinate departmental office functions including organizing clerical functions and determining priority of tasks to ensure efficient office operations
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Takes and transcribes dictation of correspondence, reports, and meeting minutes. Assemble necessary background materials/documents for meetings
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Assists the Administrative Manager in the preparation of reports by gathering and tabulating data and information
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Read and route incoming mail. Setup and maintain a filing system for correspondence and other records
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Answer telephone calls and provides information to callers regarding standard procedures. Place outgoing calls as needed
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Maintains supervisor and staffing calendars
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Maintains inventory of medical office supplies and equipment. Orders supplies when necessary. Contacts office equipment vendors concerning routine maintenance and repairs
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Utilizes MS Office word processing, presentation, and database software to design forms and reports and store and retrieve information
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Prepare and maintain patient record files, enter STARS reports, doctor’s notes, consultant reports, laboratory or x-ray reports into record
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Register patients into Electronic Medical Record Systems. Verify insurance coverage
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Invoice, bill and collect payments. Monitor self-pay patient balances. Evaluate patients for self-fee charges based on sliding scale
  • <span style="font-family:"Arial",sans-serif">Experience:

  • <span style="font-family:"Arial",sans-serif">High School Diploma/GED required, Bachelor’s Degree Business administration/database management training preferred
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">A minimum of 1 year of work experience
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Advanced MS Excel, MS Word, MS Outlook and MS PowerPoint skills required
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Ability to type 45 words per minute
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Knowledge of medical or equally complex terminology
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">Experience with EPIC and previous data entry and/or database management training/experience are preferred
  • <span style="font-family:"Arial",sans-serif"><span style="font-family:"Arial",sans-serif">This is a 100% grant funded position.
