Residency Scheduling Specialist (Program Technician 1)

With direct oversight and direction from the Educational Programs Manager, Residency Program Director, and Vice Chair for Education, the Residency Program Technician is responsible for operational administration of the residency schedule for 100+ resident physicians. Through collaboration with internal and external customers, the Residency Program Technician will provide excellent customer service while continually assessing and planning for a wide range of programmatic functions including planning and construction of complex rotation schedules, preparation/maintenance of websites and databases, use of Active Campaign for recruitment and alumni communications, project development, and regular workflow analysis and improvement. They will serve as a technical resource for subspecialty fellowship programs.

Job Requirements

Required Qualifications:

  • Bachelor’s degree in Business Administration/Management, Public Administration, or in a field directly related to the position
  • 3 years of experience administering or coordinating parts or subsets of a project or program
  • At least one year graduate medical education (GME) experience, in either a lead or support role
  • Experience interpreting and implementing policies• Thorough and detailed knowledge of national accreditation policies and hospital institutional policies• Extensive experience with Windows and Microsoft Applications (Outlook, Excel, Word, PowerPoint, etc.)
  • Experience with HTML style sheets, scripting, and web server structure
  • Proven ability to design, develop, maintain, and test web pages with the use of HTML and other web authoring languages, scripting, and technologies
  • Knowledge of web design standards and their application in templated environments
  • Ability to organize, analyze, and interpret complex data
  • Ability to exercise judgment in resolving complex problems and presenting solutions, as well as creativity in problem solving
  • Verified attention to detail and prioritization skills, as well as the ability to work effectively and efficiently, both independently and in a team-oriented, collaborative environment
  • Exceptional organizational, tracking, and follow-through ability in prioritizing and coordinating multiple projects simultaneously
  • Ability to effectively work in a fast-paced office environment and with periodic interruption
  • Ability to handle highly confidential, sensitive information and exercise discretion at all times
  • Outstanding skills in grammar, spelling, and vocabulary, and writing
  • Excellent interpersonal skills and the ability to establish effective working relationships with personnel on all levels
  • Ability to function as a team player with the ability to receive and provide constructive guidance/feedback
  • Demonstrable record of reliable attendance, punctuality, and proven successful performance at past and present employers
  • Must be able to perform the essential functions of the position with or without accommodation

Preferred Qualifications:

  • Expert level experience with databases and web software
  • Minimum one year experience with residency or fellowship scheduling
  • Expert level skills with the MedHub Residency Management system
  • Solid understanding of CSS style sheets, in addition to ColdFusion development knowledge
