Position Overview:

The Research Administration Assistant (RAA) is responsible for supporting the daily operations within the department to ensure that objectives and deadlines are achieved. This position assists with administrative activities required to support sponsored project efforts for research faculty within the College of Health Sciences. The RAA will work closely with the Research Administrator to ensure that research activities are supported and resources are efficiently utilized and in compliance. The range of duties requires an understanding of University policies and procedures as well as applicable Federal, State, and other sponsor guidelines and regulations as related to sponsored projects. The successful candidate will be a self-starter who is able to work independently and as part of a team and who has demonstrated the ability to be flexible, adaptable, and responsive.
Duties and Responsibilities:

Research Administration Support:
  • Setup new awards, maintain award files, and assist with closeout process
  • Track and maintain personnel time & effort o Assist RA with coordination of award modifications and extensions
  • Manage data and data storage for research related information
  • Provide support and maintenance of protected research information
  • Retain knowledge and seek professional development in the area of research guidelines, policy and procedure (federal, state, local, institutional levels)
Financial Support:
  • Prepares financial reports from the institutional financial system to be available to the research administrator and/or Director for periodic financial review meetings with stakeholders
  • Ensure expenses posted to sponsored project account are allocable and allowable
  • Examines and evaluates assigned awards for fiscal status
  • Submit, monitor/track transactions (i.e., A/P, travel, payment requests, subrecipient invoices, HR/Paryoll documentation, JEs, BARs)
  • Review of account balances at closeout
Departmental Support:
  • Serves as the office administrator (e.g. ordering supplies/inventory, assisting with department communications, liaison with building coordinators, etc)
  • Responsible for maintaining office and student worker Standard Operating Procedures and writing new SOPs as needed
  • Compile and organize materials for RA and Director’s use in report generation
  • Create and maintain COHS OR website media and content
Other Duties:
  • Other duties as needed and/or assigned
Minimum Qualifications:
  • Bachelor’s Degree (in business or related field) or equivalent professional experience
  • 2 years of related professional experience
Preferred Qualifications:
  • Working knowledge of GAAP
  • Familiarity with Uniform Guidance is preferred
  • Demonstrated high level of organizational skills
  • Able to make decisions within the guidelines of the Institution and Sponsoring agencies
  • Knowledge of and experience with standard applications in a Windows environment (MS Word, Access, Excel, Publisher, PowerPoint)
  • Knowledge of Adobe software and WordPress preferred
  • Knowledge of general ledger accounting practices and enterprise level consolidated financial systems
  • Experience with Oracle Fusion Cloud software preferred
