Summary of Position

We are seeking a proactive, independent-thinking office assistant to perform a variety of administrative and clerical tasks for real estate-specific clients of Sourced. Duties include providing day-to-day office support for real estate agents, managing client’s general office administration needs, and anticipating where additional help can be given along the way. If candidate excels, this position has the opportunity to grow into a management position.

This candidate must have ability to both work independently and in a team environment. Required skills include a working knowledge of accounting principles and practices, proficiency in Microsoft Office, and agility to manage multiple clients.

Candidates will be required to perform a skills test, personality assessment, and background check during the interview process.

Job Responsibilities

  • Input information and data entry into MLS system
  • Assist in contract-to-close paperwork
  • Managing all aspects of real estate transactions process from processing sales in databases to auditing and maintain the related transactions file
  • Verify properties have been entered into the closing system
  • Verify and sign off on all documents received for correct signatures and dates
  • Follow up with agents for missing documents
  • Contact buyer’s agent to request disclosures to be returned
  • Support listing agents in getting listings live
  • Communicate with clients to ensure a smooth process until close
  • Write and distribute emails, correspondence memos, letters, faxes and forms
  • Update and maintain contact lists
  • Research assistance
  • Prepare documents for review and signature
  • Produce and filing state documents
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Open, read, route and distribute incoming mail/email and or other materials and answer and routine/file/client/counterparts and attach necessary correspondence if necessary in replies.
  • Prepare lead for appointments, schedule and confirm appointments for clients, customers, or supervisors
  • Answer phones, check voicemail, take messages, or transfer calls to the appropriate individuals.
  • Learn to operate new office technologies as they are developed and implemented

Required Qualifications

  • Specific experience in the real estate industry
  • Working knowledge and proficiency using MLS system
  • Basic understanding of processes and procedures for contract-to-close
  • Effective communication skills, both written and oral
  • Strong organizational skills and ability to multitask
  • Ability to adapt to change easily in a fast-paced environment
  • Strong organizational skills with the ability to multi-task
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
