Performs a variety of confidential administrative support functions related to the management of large scale railcar procurement activity.

PRIMARY RESPONSIBILITIES

Prepares and disseminates status reports and various official reporting documents to designated Authority departments, external regulatory agencies such as UMTA, RTA, the City of Chicago, and the performing contractor.

Composes and types confidential reports, memoranda, records, tabulations, and related correspondence as required.

Participates in special projects and provides administrative and clerical support as directed.

Works closely with various personnel in the Purchasing Department and other departments involved in the management and administration of the railcar procurement function.

Monitors compliance with expenditure and payment schedules.

Enters, organizes, and retrieves confidential information with the use of user-friendly data processing equipment.

Monitors compliance with applicable stipulations and prepares reports to enable the CTA to respond promptly and effectively to deviations.

Maintains the official contract files.

Develops and maintains a variety of record keeping and filing systems.

Identifies, organizes, and catalogs relevant United States and Illinois laws, applicable written Authority policies, established procedures, and project schedules governing railcar procurement.

Performs related duties as assigned.

EDUCATION/EXPERIENCE REQUIREMENTS

  • Required to accurately type straight copy at the minimum rate of 45 words per minute.
  • Required to possess a combination of education, training, and experience relating to this position.
  • Required to possess prior experience in providing comparable administrative support in an office environment.
  • PHYSICAL REQUIREMENTS

  • Must be accurate in spelling and punctuation and be proficient in the composition of business correspondence.
  • Required to possess the analytical skills necessary for the preparation of reports, memoranda, and correspondence.
  • Must possess the skills necessary to competently operate user friendly data processing systems.
  • Required to possess the skills and attributes necessary to effectively perform and coordinate a variety of administrative duties for executive level personnel.
  • Required to be proficient in the use of basic arithmetic, including fractions, decimals, and percentages.
  • Required to have discretion necessary for dealing with confidential and sensitive information.
  • Must possess a temperament suitable to develop and maintain effective relationships with all levels of Authority and outside agency personnel.

  • Occasionally required to work evenings and weekends.

  • Desk and laptop computers, scanning, faxing and copying equipment.
