Role and Responsibilities

  • Rent apartments: Market rate: responds to email and telephone inquiries, shows and rents apartments. Keeps marketing and media information current. For subsidized apartments, maintains adequate waiting list of applicants and rents apartments in accordance with program requirements.
  • Prepare and maintain appropriate records for each tenant including lease, application, all verification and computation forms as required by HUD and MHFA, all legal notices, all correspondence, documentation of any complaints by or against a resident, and any special emergency information. Stay current on program regulations, and policies and procedures.
  • Leases: verifying applications for residency, executing marketing and related forms, making callback to potential residents, drawing up leases for signatures, receiving notices to vacate, walk the property and ground on a routine basis to ensure that curb appeal standards are being met, deliver lease renewal letters, and inspect apartment units annually. Coordinate resident move-in and move-out procedures.
  • Administrative duties: posting rent and preparing bank deposit, writing work orders, inspecting apartments recently vacated to determine disposition of the security deposit, preparing routine maintenance reports, ordering office supplies, preparing and delivering late rent notices, preparing lease renewals letters.
  • Act as a liaison in communications with residents, vendors, DEC’s office and MHFA. Notify tenants of lease violations as appropriate.
  • Receive and process tenant applications. Schedule and perform tenant certifications and re-certifications and provide all HUD required tenant notifications in a timely manner.
  • Perform other duties when assigned.

Qualifications and Education Requirements

  • Three years or more of office management experience.
  • Previous Project Section 8 HUD (public assistance) housing and market rate leasing experience helpful.

Preferred Skills

  • Excellent verbal communication and interpersonal relationship skills.
  • Ability to prioritize and handle multiple tasks with close attention to detail.
  • Computer skills, and familiarity with copy machines, FAX. Telephone skills and general office procedures.
  • Ability to perform basic mathematics and bookkeeping entries.
  • Must be comfortable working in a diverse environment.
  • Previous work experience in Word, Excel, Outlook, and other business software.
  • Previous work in a one person office
  • Experience with Yardi Genesis2 software

Additional Notes

Normal scheduled office hours are: approximately 12 hours per week at property one, and 26 hours at property 2. Unscheduled hours as needed.

Job Type: Full-time

Salary: $18.00 to $22.00 /hour
