This is a multifaceted administrative position which includes project management, office management, provider onboarding, division compliance, administrative support and other duties as assigned. This position coordinates faculty recruitment, credentialing and onboarding, manage time and effort allocation reporting, as well as many other projects as needed. The project manager must have knowledge of general business principles, be proficient in Microsoft Office and exhibit strong oral and written communication skills. This position requires a highly organized, reliable individual who possesses a very strong work ethic and ability to complete tasks independently in a timely manner. It is imperative the project manager works well in a team environment to complete objectives of various projects, motivate others and contribute to an overall positive morale of the division. This position is supervised by the Pediatric Anesthesiology Administrator.
Responsibilities
35% Project Manager
Oversee project management for various projects for key stakeholders such as faculty; CRNAs and administrative staff. Project management includes oversight of a wide array of projects from space acquisitions and assignments and renovations. Agenda and presentation preparation for meetings including but not limited to faculty, CRNA and administrative events, education and compliance, and coordination of the itinerary for physicians and CRNAs interviews. Manage and track multiple special projects for the Chief and Pediatric Anesthesiology Administrator.
30% Office Management and Administrative Support
Manage and coordinate the administrative support for the Division Leadership and Hospital Based In Chief. Help to direct administrative duties to most appropriate support person and work directly with administrative staff to insure timelines and desired outcomes are met. Serve as the point person for all purchasing and travel needs for the Division Chief and Hospital Based In Chief including UAMS and ACH accounts. Serve as the office manager for the Pediatric Anesthesiology Division. Prepare interview folders for the interview panel, obtain and file feedback from interviews in accordance with UAMS and ACH policies. Reserve rooms for meetings and order refreshments.
20% Provider onboarding
Manage the entire onboarding and orientation of Faculty & CRNAs – Includes all onboarding from offer acceptance to overseeing hire, drug screen, office assignment and setup, relocation, orientation and training processes. Work directly with Faculty and CRNAs and the Medical Staff Office and Provider Enrollment Office to manage the Credentialing process in the Pediatric Anesthesiology Division as well as work directly with Hospital Based In Chief, Division Chief, and other division leaders on provider start dates and schedules and disseminates to all multiple parties for a smooth transition to clinical service
5% Compliance

  • Manage oversight for the division’s compliance including but not limited to TB skin tests, flu shots, HIPAA, and Conflict of Interest. Manage time and effort certifications and reporting for the Pediatric Division of Anesthesiology.

    5% Evaluations and System Updates

    In coordination with the Chair’s administrative support, coordinate the faculty evaluation process and attend evaluation meetings with Chair, Chief and faculty members as directed by department leadership. Update faculty information in various systems including but not limited to FacFacts and the Pediatric Anesthesiology Provider Database.

    5% Other Duties as Assigned

    Must perform administrative duties independently: review and answer correspondence; attend staff meetings and assist in development and implementation of office procedures necessary to meet division objectives; assist in monitoring office activities and workflow and reports to supervisor; assist in interviewing/hiring/training and resolving job related problems and other administrative and purchasing duties as directed.

    Budget Responsibility:

    Responsible for monitoring expenditures and maintaining the division budget. Prepare educational fund reports as requested for the Chief and Hospital Based In Chief. Prepare other financial and fiscal reports as requested. Other financial duties may be required.

    Position Supervises/Leads:

    Direct: Clerical staff, under the supervision of the Pediatric Anesthesiology Administrator

    Indirect: Others varying dependent upon project needs and scope

    Problem Solving/Accountability/Independence:

    Some financial accountability: required to maintain financial records and monitor expenditures

Must be able to suggest and implement ways to maintain efficiency and improve operating procedures within the division.

    Interaction:

    Serves as the primary point of contact and liaison for the division.

    Must possess excellent communication skills, both verbal and written.

    Qualifications
    Required Qualifications:

    Bachelor’s Degree plus 5 years of experience in an office and/or project management setting OR High School diploma/GED plus 9 years of experience in an office and/or project management setting required. Must have excellent computer skills. Must be proficient in Microsoft Office (i.e. Outlook, PowerPoint, Word, Excel, and Access). Must be able to bend, lift and sit for prolonged periods

    Preferred Qualifications:

    • 2 years of experience as an executive assistant.
    • 4 years of experience in office management, including 2 years in a supervisory role.
    • Accounting experience, project management experience and experience in a medical setting.
    • SAP purchasing and travel, project management, REDCap (Research Electronic Data Capture), Familiarity with lean principles.
