Program Coordinator (Law School)

DESCRIPTION

FORMAL JOB DESCRIPTION: Designs, implements, and coordinates operational facets of a specific Law School program including program-related conferences, conventions and/or meetings. Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement. Identifies and pursues ways to improve the efficiency and effectiveness of administrative procedures used by students and faculty. Actively participates in committees pertaining to academic/programmatic services. Serves as a liaison to and interacts with other groups and organizations participating in the program or seeking knowledge of the program. Responds to inquiries regarding program requirements. Advises students on matters related to the program; develops resources to address particular needs. Provides direction, referral, and placement resources to students seeking employment opportunities in their respective field of study. Develops promotional and communication materials which may include content for reports, briefings, newsletters, grants or other written information related to the program. May assist in identifying funding resources and in developing fund-raising strategies and initiatives. Prepares operational and statistical reports. Maintains complete and accurate program records. May maintain and update the departmental website. May supervise program staff, interns, and/or volunteers. Performs related responsibilities as required.

MINIMUM QUALIFICATIONS: Bachelor’s degree in a field related to the program and 2 years of related experience or an equivalent combination of education, training and experience.

Position Specific Tasks/Responsibilities:

This position reports to the Assistant Dean for Public Service and supports all aspects of the work of the Center for Public Service, including pro bono, public interest, public service, community service, and judicial clerkships.

The project coordinator interfaces internally with students in all degree programs, Admissions, the Office of Professional Development and Career Strategy, Marketing and Communications, Development and Alumni Relations, Finance, and various faculty and their administrative staff. Externally, the project coordinator communicates with judges and their staff, public interest and government attorneys, alumni, and various others attorneys and stakeholders.

Some of the projects on which the project coordinator works include:

  • Judicial clerkships: initial advising and counseling of students; managing Emory Law’s OSCAR application process including uploading letters of recommendation, advising students and staff about effective use of OSCAR, and creating reports; compiling, mailing, and tracking student applications; creating various reports; contacting judges’ chambers about open positions and maintaining current information; posting available positions in Symplicity and otherwise keeping students informed of opportunities; planning and executing various programs during the academic year
  • Public interest and government careers and post-graduate fellowships: Develop familiarity with available opportunities and assist in advising students and presenting programs about the opportunities
  • Pro bono: plan and execute logistics of various programs throughout the year; review and approve student submissions of pro bono hours; coordinate various training opportunities; manage Emory Law students’ participation in intake and screening with Atlanta Legal Aid, and similar projects as they arise; coordinate the annual pro bono fair; coordinate the bar association networking fair
  • Public Interest Dinner Series: Coordinate solicitation and processing of 1L applications, and execute series of monthly dinners through invitations to students, faculty and staff, locating appropriate locations, and arranging all logistics
  • Budget/Administrative: Assist in preparing the Center’s annual budget and tracking expenses monthly; timely process expense reports; assist in coordinating the Loan Repayment Assistance Program
  • Student organizations and volunteer clinics: Support the Assistant Dean in advising the Emory Public Interest Committee (EPIC), including preparation for Advisory Board meetings and assisting with the annual grants program, as well as IRAP, Criminal Law Practice Society, the Civil Rights Law Practice Society, and Emory Law’s volunteer clinics
  • General tasks across projects include event planning, arranging travel and creating guest itineraries, facilitating presentations and training sessions, representing the Center in various internal and external meetings as requested, and supervising student workers when requested
  • Support other activities of the Center as requested.

For all of the Center’s efforts, the project coordinator manages, updates and maintains information for the website, social media, digital announcements, PowerPoint presentations, and other communications to stakeholders, and creates and maintains various reports of ongoing activities

Specific software and programs: OSCAR federal judicial clerkship system, Symplicity, Compass, OPUS, Box, Wufoo, EventBrite, FaceBook, Excel, Word, PowerPoint, Office 365, 25Live, Wrike, among others
