Program Coordinator I

Campus Planning, Design & Construction ( CPDC ) provides responsible leadership and systematic guidance to preserve and advance the physical environment of MSU in support of education, research, and community outreach. The Program Coordinator I position provides a high level of administrative, customer service, and project support for the programs and services offered by CPDC .

Duties and Responsibilities

This position is highly visible and client-centered; the person in this position must possess the skills to build and maintain relationships, both internally and externally to the department and tactfully and diplomatically respond to a variety of clientele. Work is both task and project oriented, and requires interpretation, discretion, and judgment to resolve day-to-day problems.

This position provides an advanced level of administrative, customer service and technical support for CPDC staff members, CPDC -affiliated organizations, and the Contract Administrator.

  • Project Support – Provide general administrative support to projects, under the direction of a Project Manager and Designers.

  • Performs routine and less common clerical and administrative functions.

  • Provide primary administrative support for CPDC affiliated organizations such as University Facilities
  • Planning Board, Campus Sustainability Advisory Council, Classroom and Space Management Committees.

  • Contract Administrator – Provide administrative support and back-up to the Contract Administrator:

  • Customer Service

  • Technical Support

  • Miscellaneous related duties as assigned.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative experience which includes scheduling meetings, taking minutes, word processing, and record keeping duties, or an equivalent combination of relevant education and experience.

  • Demonstrated competence interpreting, explaining, and communicating detailed information, both verbally and in writing, with all levels of customers internal and external to the organization.

  • Demonstrated experience using database, spreadsheet, word processing, presentation, electronic calendar and e-mail software. Microsoft Office Excel, Word, PowerPoint, Publisher and Outlook are preferred.

  • Demonstrated competence organizing and prioritizing heavy workloads, meeting a variety of simultaneous deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional approach.

  • Demonstrated competence composing, formatting and proofing business correspondence, reports, presentations, and general office materials.

Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Working knowledge of inventory and record keeping practices and procedures.

  • Experience in an architecture, engineering, or planning environment.

The successful candidate will also have the ability to: consistently exercise initiative, judgment and time management skills with minimal supervision; communicate effectively with employees and the public both in person and over the phone; work effectively in a team oriented environment; establish and maintain effective working relations with co-workers and the public; perform detailed work with a high degree of accuracy,and: represent the department and MSU to others in a professional and courteous manner.

Physical Demands

This position requires the ability to bend and lift blueprints weighing up to 30 pounds, and retrieving files which may be stored in cramped spaces.
