POLICE PART TIME RECORDS CLERK

**This is a part time position, working 20 hours a week. The ability to work evenings may be required.**

An Overview Do you enjoy working with the community? Consider joining the Alexandria Police Department, providing first class customer service. The Alexandria Police Department strongly invests in the community. Under general supervision in the Information Services Section, a Part Time Records Clerk is responsible for completing police reports via telephone and/or an online database. The Part Time Records Clerk is responsible for records maintenance, to include record checks for law enforcement, assisting with accident reports, warrants, and stolen vehicles while maintaining confidentiality at all times. Incumbents in this position require a thorough knowledge of Federal and State regulations and codes; departmental directives and procedures as well as specialized knowledge of the services provided by the department. This position requires a high degree of accuracy and attention to detail due to potential irreparable effects.

What You Should Bring The ideal candidate should have a clear understand of and experience in customer service and a strong degree of attention to detail. The ideal candidate should have the ability to operate under minimal supervision and possess strong written and oral communication skills. They should be comfortable in a fast paced environment, able to work with a team and manage multiple projects. The ideal candidate will have the ability to maintain complex notes and to prepare reports. Possess a strong ability to document quickly and accurately; to understand and follow both verbal and written instructions. A candidate should have the ability to operate computers and other common office equipment, possess the ability to communicate clearly, effectively and courteously with colleagues and the public.

The Opportunity – Examples of Work

  • Interview, document, and complete a report via telephone or through online database;
  • Review, process, distribute and enter data into a local data base system, all information on accident and offense reports;
  • Process and complete record checks from law enforcement, non?criminal justice agencies and the general public;
  • Process and complete insurance verifications;
  • Assist citizens and police personnel for accident reports, record checks, insurance verifications, copies of documents, etc.
  • Entry of stolen cars, stolen property, and warrants into Virginia and National Crime Information Network (VCIN/NCIC) under strict entry criteria;
  • Performs other duties as assigned.

Candidate must complete VCIN training and certification prior to completion of a one year probationary period.

The Virginia VCIN/NCIC (Virginia Criminal Information Network/National Crime Information Center) mandates that all basic terminal operators be a United States Citizen OR be a lawful resident of the United States for the past 10 consecutive years, as well as be employed by a criminal justice agency prior to applying for certification.

MINIMUM & ADDITIONAL REQUIREMENTS:

High School Diploma or GED; one year of experience in performing work which shall have involved the maintenance of confidential records and files in accordance with established standards for proper record keeping procedures, including utilization of management information systems, and successful completion of high-school-level courses in business, arithmetic and English; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

PREFERRED QUALIFICATIONS:

Two years customer service experience working in direct contact with the public, Proficiency in Microsoft Word, ability to work without close supervision on routine assignments, ability to work under the pressure of deadlines; good management skills. Fluency in Spanish is also pre­ferred. Candidate must satisfactorily complete VCIN training prior to the final appointment.
