PATIENT SERVICES COORDINATOR II (Danvers, MA)

GENERAL SUMMARY/ OVERVIEW STATEMENT:
Under general supervision of the Director of Imaging and potentially the

Operations Manager and/or Supervisor of the

Radiology

Service

Center

incumbent preforms various reception and/or scheduling tasks for the various divisions of the Radiology Department.

Schedules patient appointments using an on-line registration/scheduling system.

Edits, cancels, confirms patient appointments.

Receives patients and directs them to the appropriate testing area, arranging for escort services as required and instructing patients in gowning procedures.

Previews, online, the daily schedule; prints, sorts and distributes daily schedule and functions as a resource to appropriate Radiology divisions. Checks and confirms patient demographics and insurance information.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
May include duties and responsibilities of the Clerk or Office Assistant as well as:

Using the ROE and RIS on-line registration and scheduling system, schedules inpatient and outpatient tests.

Enters, edits and/or confirms all patient demographic, financial and clinical data elements.

Obtains patient history and other pertinent clinical data (i.e. allergies, precautions, etc.).

Verifies routing of patient reports, physician name and patient location.

Confirms availability of exam rooms and keeps abreast of any schedule deviations and instrument downtime.

Edits, cancels and reschedules test requests.

Informs patients and/or physicians of potential schedule changes.

Responds to telephone requests and processes telephone calls according to established telephone guidelines and hospital patient confidentiality policy.

Greets and receives patients as they arrive for appointments.

Provides information to patients, visitors and Hospital personnel, observing Hospital and Departmental policies and procedures.

Checks in patients, verifying demographic, financial and clinical information.

Confirms appointment time and confirms accuracy of the related computer printouts and/or requisitions. Uses Electronic Data Interchange (EDI) related software and PCIS to accurately verify patient registration and insurance information.

Assists patients in gowning procedures and explains exam preparation procedures.

Arranges for escort services to appropriate testing areas as necessary.

Ensures the completeness of all forms.

May generate Quality Assurance Statistics.

Provides cross coverage.

Knowledge of

medical terminology

Maintains the physical environment and examination rooms.

Coordinates and tracks patient referral appointments.

Performs all other duties that are practice specific and are appropriate to this level of position.

Arranges for follow up appointments.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Knowledge of basic word processing packages

Basic computer skills necessary to use computerized scheduling/billing systems

Typing and/or word processing speed approximately 45-50 WPM

Good grammar and spelling

Excellent customer service and communication skills

Ability to deal effectively and courteously with a diverse group of internal and/or external customers

Good organizational skills required to handle multiple tasks in busy environment

Ability to problem solve and adapt to flexible work hours in a variety of divisions

Basic understanding of various types of medical coverages

Ability to maintain customer service standards and work with minimal supervision

WORKING CONDITIONS:
Normal office or ambulatory practice conditions.

Qualifications

QUALIFICATIONS:
High School Diploma plus formal secretarial training/certificate program

Minimum of 1 to 3 years of secretarial experience, preferably in a radiology clinical setting
