Order Management Specialist

Position Summary

The Order Management Specialist team’s focus is to work with our Inside Sales team in support of CribMaster customers and partners to confirm their purchase orders in a timely manner. Additionally, to continue to monitor orders and expedite where necessary to meet requested delivery dates. You will work closely with our Operations team, sales, and Shipping & Receiving team to facilitate a positive customer experience, as well as an efficient and streamlined work environment.

Essential Job Functions

  • Enters customer order data and billing information into SAP and SalesForce and other Order Management Systems in an accurate and timely manner
  • Fields and reviews customer inquiries, problems, requests, and suggestions; works with Order Management supervisor and team members, operations, sales and shipping and receiving to determine appropriate solutions and/or responses
  • Ability to escalate and communicate customer needs to internal workgroup
  • Verify the accuracy of service codes, terms, and pricing.
  • Manage all aspects of the sales order entry process including timely and accurate entry of orders into SAP and SalesForce with a target order entry accuracy rate of 98%.
  • Enter all post-sales information into the tracking system as appropriate
  • Support your team by providing excellent customer service daily.
  • Respond promptly to phone and email inquiries from both internal and external customers and partners.
  • Responsible for some daily / weekly / monthly tasks.
  • Provide order entry reports upon request.
  • Assist in emergency shipments to customers.
  • Invoices/Auditing – audit invoices and send to customer for payment
  • Shipping Cases – expected completion time is no more than 10 minutes per case. Target processing is 30 minutes of being assigned to the CSA Team by Shipping.
  • Machine Orders – expected completion time is no longer than 60 minutes per order, depending on complexity.
  • Customer Service – answer all customer inquiries and direct them to the correct department
  • Credits/Debits – work with AR and Finance Departments to create credit/debits when applicable and send to customers
  • Reports/Research – work with different departments to research/audit customer accounts as needed
  • Credit Card Reconciliation – match up credit card transactions from Pay Metrics versus SAP on a weekly basis
  • Other additional duties as needed in support of meeting CribMaster’s customer expectations.
  • Verify customer orders for address accuracy, configuration, and pricing and confirm appropriate customer paperwork is complete and accurate
  • Essential Skills & Experience

  • SAP experience
  • High school diploma, GED or equivalent experience preferred.
  • Ability to read and comprehend instructions, correspondence and memos.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to perform and understand basic math.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

  • Strong computer skills
  • Must be able to understand written instructions
  • Knowledge of CribMaster products
