Operations Clerk (1710)

Applications are being accepted for a one-year, part-time, limited position as Operations Clerk. The Operations Clerk is responsible for a variety of services at the East-West Center’s residential dormitories. Duties include: responding to emergencies and calls for assistance for various facilities problems throughout the property during the shift; securing six buildings across an 8-acre campus and conducting visual inspections of facilities; assisting with daily review of front desk transactions and making necessary adjustments to run appropriate front desk and accounts receivable reports; reviewing and correcting records prior to running postings to ensure daily revenue is posted correctly; performing night auditing which includes reviewing the accounts receivable report, running the night audit report, running end-of-day reports, reviewing the reports and making corrections in order to reconcile accounting for the day. The Operations Clerk also provides front desk services such as processing guest registration, guest payments and check-in and check-outs on computerized reservation and manual record keeping systems; preparing arrival packets/keycards; calculating and collecting room rental; issuing receipts and balancing cash drawer monies; providing front desk general assistance, answering telephones, fielding inquiries, receiving visitors, taking messages, and participating in the Housing emergency response system. The position also provides general office support; orders supplies; processes time sheets; and assists with front desk and reservations office processing and filing requirements. The immediate opening is for graveyard shift, but applications are also being accepted for day and and swing shifts.

REQUIRED QUALIFICATIONS: High school diploma or equivalent training and experience from which comparable knowledge and ability can be acquired plus at least one year of clerical experience which demonstrates the ability to perform the duties of this position or a combination of post high school education and directly related experience which totals one year. Demonstrated ability to work cooperatively in following through on assignments; to organize time, tasks, and materials effectively; to handle emergency situations that require independent judgment; to deal pleasantly and helpfully with people of diverse cultural backgrounds; to communicate effectively with staff and guests; to maintain knowledge of and appropriately apply basic policies and procedures; to maintain accurate files and records; to make arithmetic computations and record figures accurately; to apply good judgment; and to accept responsibility. Ability to climb stairs, use a ladder, carry supplies and equipment weighing up to 20 pounds, walk between campus buildings, access and operate electrical switches and water valves, and perform other physical activities related to accomplishing the duties of the position. Knowledge of office practices and procedures and of office machines and equipment, including ability to input data and run basic reports using computers.

PREFERRED QUALIFICATION: Experience working in a front desk position, responding to emergencies, and providing a variety of assistance services in a dormitory, hotel, or other residential housing environment.

SALARY: $1,116.67 per month plus a cost-of-living allowance (COLA) currently at 11.32% (subject to change) and an attractive benefits package.
