This employment opportunity is with Aging and People with Disabilities (APD), which is part of the Oregon Department of Human Services . There is one Part-Time (approximately 20 hours per week) position in Beaverton (4805 SW Griffith Drive).

What will you do:
Provide support services duties for the Beaverton APD office including the Managers, Case Managers, and Human Service Specialist 3’s, as well as providing customer service to clients, their family members, and the general public.

Filing documents, organizing and scanning files, editing scanned files, preparing case files for archiving and purging case files after verifying documents are scanned correctly.

Assist case aids with voucher duties as assigned by a manager, entering voucher details into payment system, assisting HCW with inquiries both over the phone and in person, filing vouchers, and preparing documents for archiving.

Assist and greet office visitors, provide general information regarding our programs, make referrals to other agencies and community resources, review computer screens for current client status, contact staff as appropriate to further assist clients, make copies of documents, send faxes, route client documents, occasionally assist a client to complete forms and give directions to other agency offices.

Receive and route incoming calls to staff, take messages, refer to other agencies and community resources when appropriate and provide general information and initial screening for programs and services our agency provides.

Retrieve/date stamp/distribute faxes, date stamp/distribute/narrate incoming mail, assist with outgoing mail, scan and narrate misdirected applications to correct branch, internally route incoming case transfers received from other DHS offices, order office supplies, update lobby brochures and signage, order brochures and forms, assist with bank deposits, log returned checks and complete copier count report.

Perform other duties as assigned. WORKING CONDITIONS

General office environment. Occasional travel to attend employee training classes and meetings.

Must be able to communicate, interpret and process information;

Employee must have the ability to work well with people;

Employee needs to have good verbal and written communication skills and must be able to communicate information to people with different skill levels and expertise;

Employee must have good organizational and computer skills;

Experience using Microsoft Office Applications;

Experience responding to inquiries about specific program information and services;

Experience entering and retrieving information using database systems;

Experience maintaining filing systems;

Experience responding to the public at the front desk.

MINIMUM QUALIFICATIONS

Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR

Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis. If you are using education to qualify, you must attach transcripts.
