This employment opportunity is with Aging and People with Disabilities, which is part of the Department of Human Services. There is ONE permanent full-time opening located in Oregon City (221 Molalla Avenue) . This position is represented by a union.

Duties & Responsibilities

The purpose of this position is to perform support service duties for the district’s managers, case managers, and eligibility staff and provide customer services to clients, their families and the general public. Actively seek to achieve the DHS goals of integrity, stewardship, responsibility, respect, professionalism, innovation and service equity.

Duties:
Telephone reception includes, but is not limited to: receiving incoming phone calls, routing calls, taking messages, providing general information and initial screening for programs and services our agency provides. Referrals to other agencies and community resources when appropriate.

Assist walk-in clients and the public at the counter; includes, but is not limited to: initial screening of applicants, provide general information regarding our programs, make referrals to other agencies and community resources, review computer screens for current client status, contact the client’s worker with questions/concerns. Make copies, send faxes, and date stamp client documents; occasionally assist a client in completing forms and giving directions to other agency offices.

Responsible for file maintenance, including archiving, imaging, indexing, preparing record for transferring.

Issue EBT cards, receipt of monies received for program payments and retrieve, date stamp and distribute faxes, fill paper trays for printers, copiers, and processing the in-coming and out-going mail.

Perform other duties as assigned.

Working Conditions:
General cube-like office environment. Occasional travel to attend employee training classes. Must possess and maintain a valid driver’s license with an acceptable driving record.

May come in contact with angry, hostile, frustrated individuals, and those with behavioral and/or cognitive challenges.

Qualifications, Required & Requested Skills

MINIMUM QUALIFICATIONS

Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR

An Associate’s degree in Office Occupations or Office Technology; OR

Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis. If you are using education to qualify, you must attach transcripts.

REQUESTED SKILLS

General knowledge of proper grammar, punctuation, spelling, capitalization, and sentence structure.

General knowledge of arithmetic.

General skills in a variety of clerical functions.

Skill in communicating orally and in writing with a variety of people answering questions and gathering/exchanging information.

Skill in organizing work efficiently and exercising independent judgment in making appropriate decisions concerning work methods.

Skill in working in an automated environment, using computers and other electronic equipment.
