Southwest Montana Properties LLC is an organization devoted to the acquisition of multifamily real estate & the asset management of that real estate to provide an exceptional return to our investors. Southwest Montana Properties & our affiliates are stewards of several hundred housing units located in Montana, South Dakota, & Texas.

DUTIES AND RESPONSIBILITIES

The Office Manager is fundamentally responsible for handling all duties required for the efficient management of our main office. Position is full time and there is a strong opportunity for growth dependent upon the initiative of the candidate who is selected. Based in Bozeman, this position will require infrequent travel to property locations in Montana and may require very infrequent travel to property locations outside Montana.

1. Office Management:

  • General reception duties, answer telephones, return calls as appropriate
  • Maintain office filing and storage systems (mostly electronic)
  • Keep filing/document management system for electronic and paper documents organized & compliant with company & governmental agency file management requirements
  • Monitor and order office supplies
  • Process all incoming mail

2. Light Bookkeeping:

  • Accounts Payable
  • Payroll coordination with outsourced accounting partner
  • Assist on-site property management staff in properly completing all aspects of bookkeeping related to property management
  • Generate & validate reports, liaising with outsourced accounting partner, as necessary

3. Team Coordination & Collaboration:

  • Update company dashboards & portals & related information systems
  • Collaborate closely with & support remote property management teams
  • Collaborate closely with & support asset management functions
  • Keep the team on track for delivery against a wide variety of deadlines
  • Coordinate meetings, conference calls, & other interactions between team members who are located in various geographical locations
  • Continuously spearhead the development & refinement of policy & procedure within the company to reflect industry best practices & help to steer our disparate team in a common direction toward excellence
  • Arrange office configuration & setup for new employees, those who are traveling, etc

4. Assist Property Management Functions:

  • Perform lease audits
  • Prepare resident notification letters
  • Maintain information in property management system
  • Assist with other tasks as they arise

5. Compliance:

  • All Southwest Montana Properties policy & procedure
  • All applicable government regulations across property types
  • All applicable lender regulations across property types
  • Continuously spearhead the development & refinement of policy & procedure within the company to reflect industry best practices

6. Perform other tasks, as assigned
