Office Manager / Executive Assistant

Miami Waterfront Realty is searching for an organized self-starter to fill a full-time Office Manager / Executive Assistant position in our North Miami office. This position requires an individual to maintain company customer service standards, complete various administrative functions associated with the office, assist agents, develop social networking and internet marketing strategies, and collaborate with Broker.

SUMMARY OF DUTIES:

1. Oversee our office to maintain a professional and inviting workplace for our agents and clients.

2. Listing/ Sales File Management

  • Enter and maintain listing information into the MLS and other real estate websites
  • Create and maintain listing files
  • Tracking pertinent data

3. Assist sales associates with various inquiries

4. General Filing and Document Maintenance

5. Maintain a professional, organized, and clean work environment

6. Perform concierge duties as necessary to ensure business operations run smoothly

ADDITIONAL FUNCTIONS:

1. Answer telephone and direct callers to appropriate individual or take messages

2. General tidying around the office, opening/closing the office

3. Various marketing projects

4. Office contact for IT support company

QUALIFICATIONS:

1. Real Estate industry experience and MLS proficiency (preferred)

2. Strong knowledge of computer systems and applications: MS Word, Excel, Outlook and the Internet (InDesign is a plus, but not necessary)

3. Strong organizational skills

4. High level of customer service ability

5. Ability to establish priorities and coordinate work activities with frequent interruptions

6. Motivated with the ability to exercise initiative and problem-solving

7. Professional verbal and written communications skills

8. Familiarity with general office equipment such as email, fax, scanners, copiers, printers and phones

9. Knowledge of basic office practices and procedures; filing and maintenance of records.

10. Minimum of HS diploma or equivalent.

11. Minimum of one year experience as a concierge or with related customer service (preference of experience in hotel properties, office administration, or related upscale service business)
