Office Coordinator

Minimum Requirements

Associate’s degree from an accredited college or university and four years of progressive office experience

OR

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with seven years of progressive office experience

Must demonstrate the ability to manage large amounts of data; a high comfort level interacting with customers; skill parsing and managing multiple competing priorities; and the ability to maintain objectivity and poise in a fast-paced academic environment

Must exhibit an approachable and pleasant demeanor; excellent customer service skills

Knowledgeable in budgetary matters and comfortable performing all ordering of supplies for the department

Ability to exercise initiative and work independently

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Publisher) and other computer software/databases

Ability to effectively interact with faculty, staff, students, residents, other Augusta University departments, state and national representatives

Detail oriented, able to effectively manage multiple tasks and consistently exceed deadlines

Ability to exercise sound judgment; make responsible decisions; maintain confidentiality

Exceptional verbal/written communication and organizational skills

Ability to work independently; work flexible schedule (occasional evenings/weekends required)

Preferred

Five plus years of experience in an academic medical center
Demonstrated understanding of the educational healthcare environment
Experience participating in academic accreditation cycles
Knowledgeable with EMS Campus or comparable product
Bachelor’s degree from an accredited college or university

Responsibilities

The Simulation Coordinator provides ongoing administrative support for simulation operations and the Director of the Simulation Center with an emphasis on facility and personnel scheduling, purchasing and supply accounting, data collection and analysis, developing quotations and invoicing, creating and implementing policies and procedures, and supporting curricular and accreditation efforts. This position will engage with faculty, staff, and students to maintain situational awareness over day -to-day operations and will also serve as a mentor to simulation interns. The Simulation Coordinator will also interface with other administrative personnel within the Department of Academic Planning and Strategic Initiatives and in customers’ departments. The duties include, but are not limited to the following: maintaining the simulation center schedule; forecasting supply needs; placing orders for supplies and equipment; maintaining transaction logs and the operating budget; managing vendor relationships; maintaining service and compliance records; tracking and reporting facility utilization; providing facility access control in conjunction with simulation interns; budgetary, and other operational needs; and performing other duties as assigned, occasionally including duties listed above at times outside of the normal hours of operation. This position is responsible for exhibiting and reinforcing excellent customer service through interactions with internal and external customers and stakeholders.

Shift/Salary

Shift: Days/M-F (occasional evenings/weekends required)

Pay Grade: 12

Salary: $15.06/hr – $19.58/hr

Salary to be commensurate with qualifications of selected candidate within the established range (generally minimum-midpoint) of the position
