General Summary

The Office Administrator will oversee the day-to-day internal office operations with a focus on supporting the CEO, CTO, and Program Manager. The Office Administrator will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, greeting visitors and providing general administrative support to employees.

Essential Job Responsibilities

Support CEO, CTO, and Program Manager needs around scheduling, travel arrangement, and expense reimbursement

Develop organizational procedures and systems for office personnel, including filing and scheduling

Manage employee schedules and troubleshoot scheduling conflicts as they arise

Order supplies and equipment as needed

Maintain the office condition and arrange necessary repairs

Schedule meetings and appointments within the office

Greet visitors and provide general support to visitors

Provide general administrative support to employees

Collect and distribute incoming mail and assist in the handling of out-going mail

Forward vendor invoices to the appropriate parties for approval and processing

Coordinate with IT department on network functioning and equipment

Support hiring needs within the Minnesota office and assist in the onboarding of new hires

Required Qualifications

Associates degree

Proficiency in Microsoft Office suite

Excellent time management skills and ability to multi-task and prioritize work

Strong organizational and planning skills

Excellent written and verbal communication skills

Two years of experience in an office management or similar role

Experience with scheduling and organizing travel

Hands-on experience with office machines (e.g. fax machines and printers)

Preferred Qualifications

Bachelor’s Degree

Comfort with fast-paced environment wearing multiple hats

Travel

Infrequent travel.
