Manager of Administration

ORGANIZATIONAL INFORMATION

Established in 1910, the National Urban League is the nation’s oldest and largest community-based movement devoted to empowering African Americans to enter the economic and social mainstream. Today, the National Urban League spearheads the non-partisan efforts of its 90+ local affiliates that provide services to more than 2 million people nationwide. Since 1917, The Urban League of Philadelphia (ULP), as part of this national network, provides direct services, research and policy advocacy to help individuals and communities reach their fullest potential.

The Office of the President has ultimate responsibility for all administrative and programmatic functions of the organization. It also maintains effective communications and working relationships with the ULP Stakeholders including Board of Directors, corporate and community partners and governmental agencies.

GENERAL PURPOSE OF JOB

The Manager of Administration serves as a key member of the President’s team and is responsible for support of the President’s projects/ assignments, care for membership services, and office management this role serves as liaison for the President, providing interrelated accountability with staff members and broad communication capability. This includes event planning, organizing and managing specific assignments and keeping them in alignment with the Urban League’s mission and vision.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide executive level, confidential administrative support to President/CEO.
  • Manage all aspects of ULP Board of Directors & Executive Committee Meetings and events.
  • Manage ULP’s membership program including distributing welcome packages to new members, preparing renewal notices and maintaining current membership rolls and donor list.
  • Provide support for special events including on-site logistics, silent live auction program, sponsorship tracking and mailing lists for invitations.
  • Prepare and distribute acknowledgement letters for all gifts to ULP.
  • Must support the organization’s mission which is to empower African Americans to secure economic self-reliance, parity, power and civil rights.
  • Partner with Director of Ops to Maintain office decorum, security, supplies and vendors

ADDITIONAL POSITION RESPONSIBILITIES

  • Provide extensive calendar management and travel coordination.
  • Manage special projects and event planning.
  • Maintain effective working relationships with ULP Board, corporate partners, government agencies and senior staff.
  • Greet guests and members with high level of professionalism and customer care.
  • Maintain fundraising history including managing databases of donors, members and friends of ULP using our online data management systems.

Minimal out of state travel may be required; travel to meetings or events within the Greater Philadelphia region can be expected.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Associate’s degree and/or 10 plus years related experience preferred.

TECHNICAL SKILLS

  • Advanced proficiencies in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook & Publisher)

COMMUNICATION SKILLS

  • Strong verbal and written communication skills required.
  • Attention to detail and accuracy in all aspects of responsibilities required.
  • Excellent organizational skills required.

REASONING ABILITY

  • Define problems, collect data, establish facts and draw valid conclusions.

OTHER SKILLS and ABILITIES

  • Ability to perform under stress in fast-paced environment.
  • Ability to work with others and be a peer leader in a team environment

PHYSICAL DEMANDS While performing the duties of this job, the employee is frequently required to sit at a computer.

  • The employee is occasionally required to stand or walk while at workshops or events.
