Overview

Rutgers University Behavioral Health Care ( UBHC ), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC’s 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC , one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.

Posting Summary

Rutgers, The State University of New Jersey, is seeking a Management Assistant (Confidential) for the Administration Department of University Behavioral Healthcare.

Performs a wide variety of administrative support for University Behavioral Health Care’s Administrative Office; has administrative responsibility for handling fiscal matters and purchasing; serves as a liaison with other departments within UBHC and Rutgers.

• Exercises discretion and judgment; handles administrative matters that are significant. Interprets policies and procedures.

• Maintains or oversees the departmental calendars. Handles travel and conference arrangements.

• Responsible for the timely follow-up and resolution of problems and questions.

• Composes business correspondence; creates and maintains databases and spreadsheets as required.

• Expedites and coordinates services such as maintenance, repairs, office supplies, equipment, and mail.

• Provides support in conjunction with relevant meetings. Initiates clear and concise correspondence, minutes and reports which are free of typographical and grammatical errors.

• Ensures that expenditures are in accordance with the allocation of funds; submits conclusions and recommendations to supervisor. Responsible for purchase orders and expense reimbursement.

• Handles telephones and assists callers, patients and visitors in a professional and courteous manner.

• Oversees the maintenance of department records and ensures that files and recordkeeping systems meet the needs of the department.

• Performs other related duties as assigned.

Qualifications

Minimum Education and Experience

Bachelor’s Degree in Business Administration or a related field plus one (1) year of professional level experience in a government agency, university setting or large business office. Equivalent education, experience and/or training may be substituted for the degree requirement.

Required Knowledge, Skills, and Abilities

Demonstrated ability to plan and organize projects required. Must be a self-starter with excellent communication and organizational skills. Microsoft Office (Word & Excel) experience required.

Preferred Qualifications

Demonstrated knowledge of Marketplace, PeopleSoft and procurement policies and procedures preferred.
