Leasing & Administrative Assistant (Chandler)

compensation: $34,000 plus Bonus

Small property management company in the need of one person to handle leasing duties of both residential and commercial properties in the Phoenix area plus administrative duties Most properties are in the East Valley. This is a salary plus bonus position. This person must have either residential or commercial experience.

Accounting:

  • Process receivable and payables
  • Supervise maintenance person including work orders and payroll.
  • Experience in QuickBooks or Yardi a plus.

Leasing:

  • Answer phones and show units to prospective tenants. Exhibit effective closing techniques.
  • Process lease documents, including new leases, renewals, and notices. Set up and maintain leasing files according to company policy.
  • Follow up with prospective tenants by mail, e-mail and telephone. Ensure that prospect follow-up is completed in a timely manner.
  • Update leasing information with Costar, LoopNet, Xceligent and Craigslist on a weekly basis.
  • Keep current on market rents and competition by learning about other properties, pricing and availability.
  • Prepare and review Market Survey and update marketing literature.

Property Management:

  • Manage four single tenant properties.

Assist Property Manager with tracking retention and reasons for move-out.

Administrative:

  • Ensure that office is organized and all lease/administrative files are maintained as required. Review move-in and renewal paperwork for accuracy and acceptability.
  • Prepare various weekly, monthly, quarterly and/or annual reports for property owners.
  • Computer input including entering daily information. Ensure integrity and accuracy of data.

Customer Service:

Provide excellent service to tenants and communicate with the property manager of the commercial properties.

Job Specifications:

  • Must possess the ability to read, comprehend, and follow simple to moderately complicated verbal and/or written instructions to perform tasks assigned and to maintain records. Must possess basic arithmetical calculation skills (addition, subtraction, multiplication, division, percentages, etc.)
  • Be able to effectively communicate with residents, staff, and other suppliers and vendors to ensure efficient operation of office and property activities.
  • Work with multiple deadlines, maintaining efficiency and control over projects assigned within time frames allowed and changing priorities.
  • Possess a basic knowledge of sales/marketing techniques and bookkeeping/accounting theory and procedures. Have familiarity with personal computer accounting software applications. Must be able to work with various personalities, maintaining a professional, positive attitude.
  • Possess a basic knowledge of lease agreements and terminology, either residential or commercial.
