General Overview

The Global Events Learning Specialist coordinates our annual convention’s education sessions, mobile app and one of our pre-con conferences. While working closely with Rotary staff and volunteers, the specialist evaluates session proposals, develops content, promotes the program, works with vendors, and executes 50-100 breakout sessions during Rotary’s largest annual meeting (15,000-45,000 registrants).

Education

Bachelor’s degree or equivalent professional experience required. Professional meetings certificate preferred.

Specific Duties

Develops breakout program and International Institute concepts, related to the strategic priorities of the organization, for each convention with senior staff and Rotary volunteers.

Creates, reviews and edits written materials, including calls for proposals, speaker invitation letters, speaker bios, program books and scripts, and promotional materials.

Collaborates with appropriate individuals to coordinate logistical details, including food and beverage, simultaneous interpretation services, signage, audiovisual services, and meeting room setups

Contributes to advance memorandum and minutes for convention committee meeting and other meetings as assigned.

Researches and monitors board decisions, in relation to program content for conventions and International Institutes.

Tracks statistical data relating to breakout session attendance and convention program evaluation.

Develops evaluations to monitor the effectiveness of program content, promotion and background materials for conventions and International Institutes.

Develops the breakout program schedule for 50-100 concurrent sessions for convention.

Provides speaker support before and during events.

Distributes International Institute findings committee reports as provided by findings committee.

Implements onsite convention breakout program, session leaders meetings, orientations and International Institute programs.

Executes cross-divisional proposal review process for convention breakout sessions.

Trains onsite staff for breakout program and International Institute.

Works with relevant staff to develop and RFP and vendor selection process for convention mobile app.

Oversee the development of mobile app content.

Other work as assigned by manager.

Prior Experience

Minimum two years related job experience.

Supervisory Responsibility

Onsite staff during events

Budget Responsibility

Develops and monitors budget for International Institute (US$50,000-125,000 annually).

Works within in the constraints of the larger International Convention budget for breakout session needs.

Physical Requirements

Able to sit for extended periods of time

Able to stand for extended periods of time

Able to walk for extended periods of time

Able to climb stairs for extended periods of time

Able to travel* for extended periods of time, at least twice annually

Able to lift a minimum of 5lbs

  • Travel may include but not be limited to sitting in an airplane, train, bus or other form of transportation in order to get to a predetermined location.
