Intern Administrative Assistant – R&D

Responsibilities and Tasks

Create and distribute R and D communications to assure timely dissemination of information.

· Respond to management and team member inquiries

· Create, edit and/or distribute department information

· Communicate changes in policy or business practices to customers and suppliers

Coordinate R and D department resources to assist in effective and efficient administration.

· Coordinate office remodels and personnel moves

· Process IS Field Service support requests

· Process work orders

· Coordinate and schedule travel and/or train team members to use the travel system

· Maintain conference rooms

· Set new/transfer team members up with necessary office tools/resources

· Manage reward/recognition program options

· Manage Pagers

· Order Catering

Ordering of R and D office equipment and supplies

· Order desktop, office and equipment supplies

· Coordinate with purchasing the order of business cards, flowers, etc.

· Coordinate the purchase of computers, pagers, telephones, etc.

Manage data to assure proper processing of expense reports, purchase cards, records retention and MDM documents.

· Administer and maintain information in SAP

· Process expense reports

· Manage Purchasing Card expenses

· Archive department documentation to Records Retention

· Manage documentation in MDM

Maintain and efficient office area to provide a professional atmosphere for visitors and team members while providing effective use of all office equipment.

· Maintain office/reception area, greet interviewing candidates

· Assign and maintain area mailboxes, cubicles and offices

· Provide Conference Call Meet-Me information

· Use, and demonstrate how to use, area office equipment

· Schedule maintenance and repair for area office equipment

· Mail documents and packages

To be knowledgeable and flexible in handling special request from R and D management.

· Manage time and resources to ensure successful completion of special projects

· Apply processes/procedures with strong customer service to meet request requirements

· Set up Meetings in Outlook
