Human Resources Coordinator

Title: Human Resources Coordinator

Purpose: To lead, facilitate, support and assist in the delivery of services in the key functions of Human Resources, including staffing, on-boarding, safety, training, performance management, benefits, compensation, payroll policies, employee relations and compliance to effectively foster a performance improvement environment. Additionally, to ensure that all Human Resources systems and programs are implemented according to standards, compliance requirements and funding source expectations.

Reports to: Chief Operations Officer

Job Duties and Responsibilities:

  • Creates job descriptions, and posts and distributes announcements for open positions including an up-to-date list of agencies, professional organizations, etc., that receive job announcements for job postings.
  • Coordinates all recruiting efforts to include sourcing, researching, prescreening, interviewing for open positions. Assists Leadership Team in staffing acquisition, the screening and evaluation of applicants, ensuring all reference checks and any other requirements (e.g., background checks) are completed and all paperwork is properly prepared.
  • Provides initial orientation of new hires. Ensures proper completion of all payroll/employment documentation and explanation of agency benefit package.
  • Prepares all termination packages and coordinates employee exit process.
  • Proactively provides advice and guidance on employee relations issues, conflict resolution, and progressive discipline and performance documentation requirements. Ensures the organization is in compliance with current federal and state labor laws. Maintains all OSHA, EEOC, and wage and salary compliance, developing and communicating all HR practices and expectations.
  • Identifies legal requirements and government regulations affecting HR functions and ensure proper reporting compliance. Proactively responds to requests from the Department of Labor (DOL), Equal Employment Opportunity (EEOC), State Industrial Commission, OSHA and other federal and state agencies that impact employer/employee relations.
  • Maintains and updates the organization’s personnel policies and procedures. Reviews and updates employee handbook and audits personnel files to ensure compliance with applicable federal and state employment laws.
  • Maintains personnel files of all employees, ensuring that all legislated and mandated data and forms are included.
  • Serves as benefits administrator. Maintains benefit information and records, distributes information to employees and conduct open enrollment. Keeps abreast of current trends and new developments in compensation and benefits and propose improvements and changes to benefits.
  • Accurately files, tracks, manages, and coordinates workers’ compensation, state disability and unemployment claims, and appears at hearings when required.
  • Maintains accurate paid time off benefit accruals and employee time records. Manages federally mandated paid sick leave accruals and compliance.
  • Prepares all appropriate reports and paperwork for management review to adequately address and maintain human resources programs and practices.

Minimum Requirements:

  • Knowledge:
  • Knowledge of benefit administration, recruitment, employee relations, performance management, training programs and other HR functions.
  • Current knowledge of government mandated policies relating to personnel administration, including prevailing labor laws.
  • Current knowledge of JCAHO and State regulations
  • Experience:
  • Minimum of 2 (two) years of experience as an HR Specialist or Manager.
  • Supervisory experience preferred.
  • Qualifications / Skills:
  • Bachelor’s degree in Human Resources or related field preferred
  • Strong aptitude for detail, analysis and problem-solving; highly organized with exceptional interpersonal and communication (verbal and written) skills.
  • Technically skilled in the use of computers and Microsoft Office software programs.
  • Ability to work independently with minimal supervision while interacting effectively with all levels of the organization.
  • Mastery of customer service skills, diplomacy and practices.
  • Ability to maintain highest level of confidentiality and professional judgment.
